    Job Description:

    RESIDENCY TRAINING PROGRAM SUPPORT

    Assists with collecting and compiling information on the Department of Psychiatry, College of Medicine, and the University of Florida, for publications. Assists with the coordination of resident recruitment, including sending post-match surveys, and orientation, including management of evaluations. Maintains resident files according to the ACGME Expectations for Content of Residents. Assists with planning residency meetings and functions, resident leave, call schedule changes, and other resident inquiries. Attends all COM and departmental trainings as required. Provides quarterly (and as needed) reports to the College of Medicine Office for Housestaff Affairs. Transcribes resident evaluations and updates on residency issues. Responsible for PEC and other Residency meeting minutes and agendas. Communicates policies and procedures to residents as relayed by the Residency Training Director. Provides backup coverage for the Residency/Fellowship Program Coordinator I. Assists the Residency Training Director with tasks necessary for the efficient operation of the Residency Training Program. Performs all other duties at the discretion of the Vice Chair for Education/Residency Training Director. Maintains supplies for resident breakroom including trips for supplies as needed. Maintains conference rooms and calendars and ensures meeting spaces are kept clean. Orders and inventories office supplies on a weekly basis.

    RESIDENCY EVALUATIONS AND DIDACTICS -

    Attends New Innovations trainings as assigned. Maintain resident didactic schedule in New Innovations and alert responsible personnel regarding changes. Provides lecture reports as requested. Collects and monitors resident didactic attendance, alerting the Program Director of any concerns. Reminds speakers about their scheduled presentations and sends correspondence to residents in preparation for their lectures. Assists faculty presenters with lecture materials and set-up of conference rooms for didactic presentations. Distributes and monitors didactic surveys. Prepares all residency related evaluations including: monthly rotation evaluations, faculty evaluations, teaching evaluations, semi-annual evaluations, post-graduate evaluations, and any other evaluations required by the ACGME or Residency Training Director. Monitors the completion of all evaluations and sends correspondence to faculty and residents regarding the completion of evaluations. Provides evaluation reports as requested and alerts Residency Training Director to any major issues noted in the evaluations in a timely fashion.

    TRAVEL AND EXPENSE REPORTING -

    Assists residents, Program Director, Assistant Program Director, and Residency/Fellowship Coordinator II with all travel arrangements, expenses, and reporting. Reconciles PCard transactions and submits all required financial reporting as required by the Fiscal office. Orders food and supplies for all education office events and submits expense reports and reconciliations as required. Liaisons with the Fiscal office and UFGO staff to ensure proper procedures are followed and stays abreast of all new trainings.

    RESIDENCY/FELLOWSHIP COORDINATOR II SUPPORT

    Assists the Residency/Fellowship Coordinator II with education responsibilities of an administrative nature and relating to matters for their attention. Performs miscellaneous duties as requested to assure the timely completion of tasks necessary for the efficient operation of the Residency Training Program.

    ASSOCIATE PROGRAM DIRECTOR SUPPORT

    Maintains calendar and schedules of all education related appointments. Makes travel arrangements and submits travel authorization and reimbursement forms. Assists the Associate Program Directors with education responsibilities of an administrative nature and relating to matters for their attention. Performs miscellaneous duties as requested to assure the timely completion of tasks necessary for the efficient operation of the Residency Training Program.

    RESIDENT WELLBEING INITIATIVES

    Reviews ACGME requirements for resident wellbeing and researches institutional, departmental, and other opportunities for implementation into the training program. Arranges and schedules wellbeing programs, including resident retreats, and seeks opportunities for other wellbeing initiatives. Solicits residents’ feedback on available wellness and wellbeing options and implements feedback into wellbeing programming.

    Expected Salary:

    $21.00 - $23.50 per hour

    Minimum Requirements:

    Two year college degree and one year of relevant experience, or combination of education and relevant experience.

    Preferred Qualifications:

    Knowledge of general office procedures and word processing skills including spreadsheets, MS Word, Excel, Power Point, and able to access information via the Internet. Knowledge of New Innovations and UFGO. Strong verbal and written communication skills. Ability to manage work and time effectively; to establish and maintain working relationships, maintain confidentiality, work under pressure and meet deadlines, assist with unexpected projects.
