The Administrative Coordinator serves as the primary assistant to the Vice President of Institutional Advancement, providing high-level administrative, operational, and organizational support. This position requires a proactive, detail-oriented professional who can manage multiple responsibilities while ensuring the smooth operation of the office. The Administrative Coordinator plays a vital role in supporting the strategic initiatives of the Institutional Advancement division, facilitating communication, and maintaining operational efficiency.
Key Responsibilities:
• Provide executive-level administrative support to the Vice President, including managing calendars, scheduling meetings, and handling correspondence.
• Serve as a liaison between the Vice President and internal/external stakeholders, including faculty, staff, donors, alumni, and CUNY central administration.
• Coordinate and manage special projects, events, and initiatives that support the Institutional Advancement division’s goals.
• Prepare and edit reports, presentations, and other documents to support fundraising and alumni engagement efforts.
• Assist with budget tracking, expense reconciliation, and procurement processes in compliance with CUNY policies.
• Maintain confidential records, databases, and donor-related information in accordance with institutional policies.
• Monitor deadlines and ensure follow-up on key initiatives and commitments.
• Supervise student workers or administrative support staff as needed.
• Perform other related duties as assigned to support the advancement efforts of the division.
QUALIFICATIONS
Minimum Qualifications
• Bachelor’s degree required.
• At least three (3) years of experience working within the CUNY system.
• Strong organizational skills with the ability to prioritize tasks effectively in a fast paced environment.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with CRM/database systems.
• Ability to handle sensitive and confidential information with discretion.
• Strong interpersonal skills with the ability to collaborate across diverse teams and stakeholders.
• Experience supporting senior-level administrators in an academic or nonprofit setting preferred.
Preferred Qualifications:
• Experience in Institutional Advancement, Development, or Alumni Relations within higher education.
• Knowledge of fundraising principles and donor relations best practices.
• Familiarity with CUNYfirst or similar enterprise systems.
• Ability to adapt to evolving priorities and work independently with minimal supervision.

- Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.
- Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.
- Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.
- Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.
- Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.
- Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.
- May supervise office staff and student workers.
- Performs related duties as assigned.

COMPENSATION AND BENEFITS
Salary commensurate with education and experience. **$67,696**
CUNY is in the process of implementing salary schedule increases. Once implemented, salaries of eligible employees will be adjusted by 6.09% with additional increases of 3.25% effective 9/1/2025 and 3.5% effective 9/1/26, in accordance with the terms of the PSC-CUNY collective bargaining agreement.
