    Job Description

    Reporting to the Chief Ethics and Compliance Officer, the Compliance Coordinator works collaboratively with various offices at the University to ensure the institution’s compliance with Federal, State and System requirements.

    ESSENTIAL DUTIES & RESPONSIBILITIES:

    + Serves as the institution’s designated “Campus Safety Survey Administrator,” as that term is explained in the Department of Education correspondence

    + Coordinates the institution’s Clery Act Compliance program and develops the institution’s Clery Compliance policies and procedures to ensure full compliance with federal, state, and other requirements

    + Prepares, publishes, announces, and distributes the Annual Security and Fire Safety Report and ensures notices announcing the availability of the Annual Security and Fire Safety Report are properly developed and available to prospective students and employees

    + Gathers crime and disciplinary referral data from various internal and external sources, such as the student conduct, student counseling, local law enforcement agencies, and the state police

    + Works with the appropriate University Departments to identify all Campus Security Authorities for the institution and maintains a list of them for each academic year, provides necessary training, and collects annual crime statistics reports from CSAs.

    + Consolidates relevant data from these sources with information and policies from across institutional departments. Coordinates with the appropriate campus departments to ensure compliance with HEA Fire Safety regulations

    + Works with the university police department to ensure proper classification of crime incident reports and communication of the institution’s Timely Warning and Emergency Notification program

    + Coordinates with the appropriate departments to maintain an accurate list of buildings and properties owned and/or controlled by the institution.

    + Ensure compliance with the daily crime and fire log requirements and reviews and updates entries for the Daily Crime and Fire Log and ensure that the log is printed on a daily basis.

    + Chairs the university’s Clery Stakeholder committee, and any subcommittee or work group.

    + Works with the Dean of Students - VP of Student Life and/or Human Resources to ensure compliance with the Drug-Free Schools and Safe Campuses regulations, including primary responsibility for publication of the Biennial report.

    + Stays abreast of pending and final changes to the Clery Act and other laws or regulations affecting Clery Act provisions

    + Works with various institutional offices to ensure compliance with the provisions of the Sexual Assault Victim’s Bill of Rights and Violence Against Women Act.

    + Submits annual crime statistics to the Department of Education, as required

    + Assists with compliance with the Texas Public Information Act, including coordination and compilation of responses to public information requests

    + Assists with compliance with State and System Records Management requirements

    + Assist with oversight of Programs for Minors activities to ensure compliance, risk mitigation, and Clery reportable incidents

    + Serve as conduct or Title IX/Civil Rights hearing officer or party advisor when needed

    + Maintains sensitive and confidential/private communication and information.

    KNOWLEDGE, SKILLS & ABILITIES:

    Minimum Qualifications

    + Bachelor’s degree in applicable field or equivalent combination of education and experience

    + Six (6) years of related experience.

    + Knowledge of Generally Accepted Accounting Principles (GAAP), Generally Accepted Auditing Standards (GAAS), and Governmental Accounting Standards (GAS).

    + Knowledge of word processing, spreadsheet and database applications

    + Strong oral and written communications skills

    + Strong interpersonal and organizational skills

    + Ability to multitask and work cooperatively with others

    + Ability to maintain confidentiality

    Preferred Qualifications

    + Knowledge of criminal offenses and preparing crime statistics

    + Bachelor’s degree in Communications, Criminal Justice or Emergency Management

    + Advanced Clery Training

    + Familiarity with Title IX, VAWA, and student conduct

    + Previous professional work experience with an institution of Higher Education

    + Three (3) years secretarial or office work experience

    + Three (3) years computer experience

    + Ability to work with sensitive and confidential documents

    + Decision-making skills (demonstrate ability to think critically)

    + Organizational skills

    + Must be able to handle stressful situations

    Other Requirements

    + Excellent computer skills; familiar with Microsoft office suite and databases, ability to create, modify and format spreadsheets and a variety of charts and graphs.

    + Ability to act independently, collaborate with others, design and manage administrative processes

    This position generally does not supervise employees.
