Description We are looking for a detail-oriented Legal Assistant to join our team in Austin, Texas. This position involves providing advanced administrative support to attorneys specializing in Environmental, Regulatory, and Legislative matters. The role requires exceptional organizational skills and the ability to manage multiple priorities in a fast-paced legal environment.
Responsibilities:
• Coordinate and arrange travel, meetings, and appointments for attorneys, ensuring timely submission of expense reimbursements.
• Handle accurate timesheet entries, review and revise them as needed, and assist with the preparation and submission of prebills and client invoices.
• Organize and maintain physical and electronic documents, including profiling emails and distributing legal correspondence.
• Prioritize and manage incoming tasks to meet strict deadlines, ensuring smooth workflow.
• Assist in preparing and formatting legal documents, including tables of contents and document styles, using Microsoft Word and PDF tools.
• Support attorneys in contested case litigation and administrative law matters, including discovery and data room management.
• Communicate professionally with clients and other stakeholders, ensuring confidentiality and accuracy in all interactions.
• Perform additional administrative and secretarial duties as required to support the legal team.
• Maintain compliance with document management systems and ensure proper handling of confidential information. Requirements • Proficiency in Microsoft 365 tools, particularly Word and Outlook.
• Demonstrated experience with legal document formatting, styles, track changes, and converting PDFs to Word.
• Familiarity with document management systems; iManage experience is a plus.
• Strong grammar, writing, and communication skills, with the ability to interact professionally with clients.
• Proven ability to handle multiple projects simultaneously in a fast-paced environment.
• Critical thinking skills with a proactive approach to problem-solving.
• At least 5 years of experience in administrative law and contested case litigation; prior law firm experience preferred.
• Bachelor's degree preferred, but a high school diploma is required.
