Position summary:
The Program Coordinator is a critical administrative and program support role within the American Humane Society (AHS) Rescue team. This position provides comprehensive coordination for program logistics, stakeholder engagement, training administration, and internal reporting. The Program Coordinator ensures the seamless execution of behind-the-scenes tasks that enable field responders to operate efficiently and effectively during deployments, training events, and community outreach efforts
Responsibilities:
Administrative & Program Management Support
+ Provide project and operational support to the Rescue team across deployment planning, coordination, and follow-up efforts.
+ Track project timelines, deliverables, and logistics to ensure readiness for response events and field operations.
+ Maintain and update standard operating procedures, contact databases, calendars, and shared resource documents.
+ Support incident documentation, after-action reviews, and reporting for leadership and partner agencies.
+ Assist with data entry, records management, invoice tracking, and logistics coordination for equipment, supplies, and contracts.
Stakeholder Coordination & Communication
+ Serve as a liaison between internal departments (e.g., Communications, Marketing, Development, Finance) and the Rescue team.
+ Draft and format internal and external communications, including briefing memos, training materials, and partner correspondence.
+ Support the development and tracking of Memorandums of Understanding (MOUs), contracts, and partnership documents.
Training & Volunteer Program Support
+ Coordinate scheduling, registration, and communications for training events, including preparation and distribution of materials.
+ Maintain accurate volunteer and reserve responder records, certifications, and deployment availability lists.
+ Assist with recruitment, onboarding, and engagement of new volunteers and contractors.
Fleet, Equipment & Logistics Support
+ Track maintenance schedules, registrations, and inventory for fleet vehicles and rescue equipment.
+ Coordinate with vendors for repairs, purchases, and servicing.
+ Support logistics planning for vehicle mobilization and deployment readiness.
Content Collection & Public Outreach Support
+ Assist in gathering and organizing content such as deployment photos, stories, and media for marketing, fundraising, and social media.
+ Collaborate with Communications and Development teams to ensure timely and accurate storytelling aligned with brand standards.
Experience, Knowledge, Skills and Abilities:
+ Education:
+ High school diploma required, bachelor’s degree in emergency management, nonprofit administration, communications, or a related field preferred.
+ Experience:
+ Minimum 3 years of administrative, project coordination, or nonprofit program support experience.
+ Experience supporting emergency response, animal welfare, or field operations preferred.
+ Technical Proficiency:
+ Proficient in Microsoft Office (Word, Excel, Outlook, Teams, PowerPoint).
+ Comfortable using databases, CRMs, and cloud-based collaboration tools (e.g., Box, Emergency Management Systems).
+ Communication Skills:
+ Strong written and verbal communication skills; able to create polished, professional correspondence and documents.
+ Proven ability to communicate diplomatically with diverse stakeholders under pressure.
+ Professional Qualities:
+ Highly organized with strong attention to detail and ability to manage multiple tasks simultaneously.
+ Strong discretion, integrity, and judgment in handling confidential or sensitive information.
+ Flexible, self-motivated, and adaptable to a fast-paced, mission-driven environment.
+ Professional demeanor and reliability in both in-person and virtual interactions.

Physical demands and work environment:
+ Position will be a hybrid of office/telework with the position based out of the Washington, DC office location and regular telework schedule based on organizational policy, need and manager discretion
+ Must be comfortable with animals in the office, at events or in deployment situations.
+ While this position is primarily administrative, the Program Coordinator must be willing to support deployments on-site occasionally and may be exposed to animal environments, shelter conditions, or outdoor operations.
+ Must be able to lift up to 25 pounds occasionally, sit or stand for extended periods, and work on a computer screen daily.
+ Willingness to receive or maintain required vaccinations (e.g., Tetanus, Rabies) if deployed.
+ While performing the duties of this position, the employee will regularly be required to:
+ Look at and work on a computer screen for extended periods of time,
+ Talk, hear and exchange information over the telephone, virtually and in person.
