Summary:
Vighter LLC requires an Operations Assistant to act as the administrative representative for Vighter Operations. The Operations Assistant will assist in carrying out directives set forth by the Project Manager and/or Vice President of Operations as they pertain to the project to include providing administrative support to the project. The Operations Assistant will attend meetings and conference calls as necessary, identify weaknesses in capabilities, and must maintain a high level of professionalism.
Key Responsibilities:
+ Plans and prepares for meetings and conference calls.
+ Assist in administrative duties as directed by Project Manager or Vice President of Operations.
+ Provide resources for employees and maintain a high level of morale and maintain open communication.
+ Participate in weekly conference calls/meetings as needed.
+ Maintain exceptional rapport with employees.
+ Collaboratively establishes criteria, formulates approaches, and evaluates efforts with the (VPO) and the Project Manager.
+ Will notify the Project Manager of any event caused by a Vighter employee that can pose a liability or concern to the company.
+ Will have access to the PM Datasheet in Google Drive for tracking operations data.
+ Work collaboratively with the Project Manager and project team to maximize productivity contributing to the entire project lifecycle.
+ Organize and monitor operations schedules and see that deadlines are met.
+ Report updates verbally and in written form to management.
+ Complete any necessary administrative tasks including but not limited to research, analysis, tracking, and reporting. Pays careful attention to details.
+ Demonstrate commitment to clients’ needs and confidentiality.
+ Uses personal computer workstations to input data accurately.
+ Other duties as assigned.
Experience & Education:
+ Must have high school diploma, bachelor’s degree preferred.
+ College education in business or administrative field preferred but not required.
+ Must have working knowledge of recruiting and staffing procedures.
Qualifications
+ Must have exceptional customer service skills.
+ Shall be proficient in English and Spanish.
+ High degree of computer/smart phone skills; Word, Excel, PDF, Google Suite, and Email.
+ Ability to rapidly respond to email, telephone, and text messages as needed.
Knowledge, Skills and Abilities
These KSAs are both requirements and things that will help you to be successful with Vighter:
+ Verbal and written proficiency in English and Spanish is highly encouraged.
+ Ability to navigate an electronic work environment, web-based training, and electronic communications.
+ Moderate proficiency in, common Microsoft Office Suite programs, to include Apple (iPhones/iPads), iOS operating system, Pages and Numbers applications (iOS).
+ A deep sense of purpose and dedication to the United States and our U.S. Military Veterans, their Families, and other patients as assigned.
+ An unshakeable adherence to quality and continuous process improvement.
+ An apolitical, patient-centered focus that drives to enhanced care and patient satisfaction
+ Knowledge of regulations (HIPAA/Privacy Act) regarding the confidentiality of patient medical records and information as well as Personally Identifiable Information (PII).
Duty Hours / On-call Requirements
+ Generally speaking, this is a day shift position with some work, mission dependent, at night and on weekends. As a salaried employee, it is important to be able to be available to speak with potential candidates at their availability.

Physical Requirements:
+ Must be able to sit for more than 8 hours per day.
+ Must be willing to work overtime if necessary.
+ Must be able to use an elevator or walk up & down stairs.
+ Must be able to lift up to 40 lbs. and carry up to 10 feet.
+ Must be able to routinely grasp or handle objects, use finger dexterity, bend elbows/knees and reach above and below shoulders.
+ Must be able to read and interpret handwritten and typewritten print.
+ Must be able to communicate by voice and detect sound by ear.
+ Must be able to perform duties in an indoor office or outdoor environment.
+ Must be able to pass a criminal background investigation.
+ Must undergo urine drug screening (UDS).
Travel:
+ Some light travel may be required as needed.
