    ROLE AND RESPONSIBILITIES

    The position of Loan & Construction Administration Specialist plays an integral role for the Bank With primary responsibilities to include Loan Operations Administration, Construction Draw Administration, and backup support for Mortgage loan documentation/administration. The Loan & Construction Administration Specialist is an important role in supporting the Bank’s loan operations function.

     

    The position of Loan & Construction Administration Specialist involves, among other responsibilities outlined below, performing most all loan operations tasks, administering construction draws, as well as administrative and documentation aspects of producing a mortgage loan, working with the Mortgage Loan Originators and other Mortgage personnel from the time a mortgage application is received until the loan is closed, paid off, and released. The specific responsibilities for the Loan & Construction Administration Specialist are further outlined below:

     

    Loan Operations Administration

     

    + Manage the Loan Admin email inbox, which includes handling tasks such as processing payments/advances, preparing payoff statements, conducting loan account research and supporting general customer inquiries as well as scanning documentation to Acculoan, our file storage system.

    + Process loan payments including payments received in the mail, participated loans, both purchased and sold, and advance requests.

    + Manage the insurance tickler reports, and other collateral related reports to minimize outstanding loan exceptions.

    + Follow-up as required to obtain title insurance policies, recorded documents and other post-closing documents

    + Support daily loan operations, including reporting, documentation, system updates, compliance checks, and processing adjustments.

     

    Construction Draw Administration

     

    + Manage the portfolio of active construction loan draw files during its loan life cycle.

    + Input final approved construction budget into the Bank’s Construction Draw Tracking Spreadsheet.

    + Facilitate effective and timely communication with all parties by organizing an initial meeting with the Relationship Manager, Borrower, and Contractor/General Manager to review the final approved project budget and set expectations for the construction draw process, including requirements and funding timelines, and maintain ongoing communication throughout the life of the project to ensure alignment and responsiveness.

    + Monitor/Review monthly draw/funding requests submitted to include, but not limited to:

    + Enter draw request to tracking spreadsheet, order & review inspection reports, title search reports to verify bank’s lien position, lien waivers, etc.

    + Address line-item overruns, equity injections, verify availability of funds to be advanced and that the draw request is within scope of the budget/project.

     

    Mortgage Administration (Serve as secondary support)

     

    + Knowledge of consumer lending regulatory requirements, including but not limited to TRID, HMDA, Reg Z, Safe Act, etc.

    + Assemble, prepare and review early disclosure documents for residential mortgage loans and, if the loan is approved, the Loan & Construction Administration Specialist will prepare all loan closing documents, ensuring accuracy and compliance. Documents to be produced utilizing the residential mortgage module of the LaserPro documentation system.

    + Review all documents for accuracy and confirm that pricing and program guidelines have been met.

    + Monitor timelines to ensure borrowers receive all necessary information within mandated timeframes.

    + Serve as a point of contact between all parties in the real estate closing transaction including communication with the title company to gather all necessary information for accurate document preparation and the coordination of the closing date and time.

    + Manage the funding and disbursement of assigned residential mortgage loan transactions.

    + Handle routine administration of mortgage loan accounts (including the setup of automatic loan payments, monitoring and following up on all past due loan payments).

    + Ensure the accurate and complete retention of all loan documents.

    Client Experience

    + Provide effective customer service by proactively solving problems, answering questions, and correcting errors, while collaborating with both internal team members and external partners to ensure exceptional client experience.

    + Detail oriented; Ability to analyze and solve problems

    + Must be able to manage and support multiple priorities efficiently from start to finish. Efficient and effective in assigned tasks with excellent time management and planning skills.

    + Maintain a professional work environment, demeanor and business-like appearance.

    + Keep up-to-date and trained with bank procedures, required bank compliance training, and required Federal and/or State credentials related to lending activities.

    + Perform other related duties periodically as required and assigned.

    Qualifications

    EDUCATION / EXPERIENCE / SKILLS

    These specifications are general guidelines based on the minimum experience normally considered essential to the satisfactory performance of this position. The requirements listed below are representative of the knowledge, skill and/or ability required to perform the position in a satisfactory manner. Individual experience and abilities may result in some deviation from these guidelines.

     

    + Minimum of two years of related experience and/or educational experience preferred. Work related experience should consist of mortgage operations and documentation background with either a financial institution or another mortgage origination entity, construction draw administration experience, and/or other loan administration experience. Educational experience, through in-house training sessions, formal school or financial industry related curriculum.

    + Preferred experience generating, reviewing and distributing mortgage closing documents.

    + Knowledge of related state and federal banking compliance regulations, and other Bank operational policies.

    + Intermediate to advanced level of knowledge with Microsoft Office products is preferred (Word, Excel, PowerPoint).

    + Preferred experience with one or more of the following (or similar) software products: Calyx Point loan operating software, Finastra LaserPro documentation software, and AccuSystems documentation retention software.

    + Highly detail oriented/task focused and the ability to manage multiple tasks and prioritize effectively.

    + Effective organizational and time management skills.

    + Basic math skills suitable for working in a bank environment.

    + Current Colorado driver’s license and a vehicle with appropriate insurance coverage if required to drive in the course of performing assigned duties and responsibilities.

    + Effective oral, written and interpersonal communication skills with the ability to apply common sense to carry out instructions, interpret documents, understand procedures, write reports and correspondence, and communicate clearly to customers and employees.

    + Ability to regularly address and resolve problems involving multiple facets and variables in non-standardized situations.

    + Ability to work with minimal supervision while performing duties.

    + Collaboration with other departments/peers such as Credit Analysts and Relationship Managers.

    COMPENSATION AND BENEFITS

    + The position’s pay range starts anywhere between $26 - $31 per hour.
