Description
We are looking for an Administrative Assistant to join our team on a contract basis located in the Greater Philadelphia Region. As an Administrative Assistant, this position will support the department head and assist with various administrative tasks for a duration of 3-4 months. The role requires exceptional organizational skills and the ability to handle confidential information while ensuring smooth daily operations.

• Coordinate schedules, manage calendars, and organize meetings while taking detailed minutes.
• Prepare and process requisitions and invoices for approval and payment.
• Draft and edit correspondence, including memos, letters, and reports, for management-level personnel.
• Assist with special projects as assigned and provide backup support to colleagues to maintain workflow continuity.
• Uphold security standards and ensure confidentiality of sensitive records and information.
• Represent the department head in meetings and liaise with internal and external stakeholders.
• Handle escalated cases from partners, elected officials, and executive offices.
• Maintain departmental records, filing systems, and documentation with accuracy and efficiency.
Requirements
Other requirements for the Administrative Assistant position include and are not limited to:
• High School Diploma or equivalent; additional formal post-high school education and training preferred.
• Minimum of three years of experience in administrative support or a related field.
• Proficiency in office operations, including calendar management, email correspondence, and records management.
• Familiarity with software tools such as ADP, Concur, CRM systems, Cisco Webex Meetings, and other office applications.
• Strong written and verbal communication skills, with attention to detail in business English and grammar.
• Ability to multitask, prioritize deadlines, and maintain effective relationships with coworkers and external contacts.
• Knowledge of organizational policies, procedures, and standard operating practices.
• Skilled in preparing detailed documents, handling inquiries, and resolving issues efficiently.
