    Scope of Job

    Responsible for managing, planning and overseeing major student campus events and activities, during evening and weekend hours, aimed at enhancing the campus life experience. Responsible for the implementation and management of student tailgating activities at UTRGV Athletic events throughout the year.

    Description of Duties

    + Responsible for planning, administering, and executing large-scale events sponsored by the Student Union and Student Activities in support of university annual celebrations and traditions that include but are not limited to Welcome Weeks, UTRGV Madness, Athletic events and Homecoming. ·

    + Supervises and provides leadership for night and weekend programming sponsored by the Student Union department across UTRGV campuses. ·

    + Collaborates with long-term planning, assessment, budget management, staff training and annual reports for the assigned area. ·

    + Participates in developing short and long-term plans for the department, including development and assessment of annual goals and objectives. ·

    + Assists with the preparation and execution of the programming budgets and maintenance of financial records for assigned accounts. ·

    + Responsible for organizing and managing tailgating events for students during athletic games, including UTRGV football games, promoting a fun and safe environment. ·

    + Promotes student tailgating events through social media and campus communications to maximize student participation.

    + Assists in researching corporate sponsorships for tailgating events and other funding opportunities in consultation with Athletics department. ·

    + Collaborates with various departments and community partners to create a vibrant and all-inclusive atmosphere that enhances the overall student experience. ·

    + Responsible for risk assessment of programs and ensures compliance with university policies and procedures related to student activities and events. ·

    + Collaborates in the planning and execution of all outreach activities on behalf of the department at all new student recruitment and orientation events throughout the year. · Facilitates annual assessment, compiles reports that reflect accomplishments of goals and objectives, and produces reports of data related to the Division and University’s Strategic Plan.

    + Is the main point of contact with entertainers and agencies, in terms of agreements and commitments for assigned student events and programs. ·

    + Responsible for meeting regularly with direct reports, implementing professional development plans, conducting annual evaluations, and providing support for their work. ·

    + Oversees the hiring, training, and development of assigned staff. ·

    + Conducts routine program evaluations, collects and synthesis student participation data and prepares reports showcasing the achievement of goals and objectives, for the department and assigned Division. ·

    + Acts as a liaison within Student Affairs departments to create collaborative partnerships, open communication, and enhance participation by student organizations and clubs.

    + Develops, cultivates, and maintains working relationships with internal/external departments/agencies and other organizations associated with and/or receiving benefit from the program. ·

    + Performs other duties as assigned.

    Direct supervision of assigned staff.

    Required Education

    Bachelor’s degree from an accredited university.

    Preferred Education

    Master’s degree in student affairs or related discipline from an accredited University.

     

    Licenses/Certifications

     

    None.

    Required Experience

    Three (3) years of directly related job experience such as experience managing student activities, large-scale programming, promotions, or special events.

    Preferred Experience

    Supervisory experience.

    Equipment

    Use of standard office equipment. University fleet vehicles, golf carts and rental vehicles under the University’s name.

     

    As condition of employment this position requires the applicant to be authorized to operate a University-Owned Vehicle for Official University Business. Per University of Texas System Policy 157, applicants will be subject to a motor vehicle record check for their most recent thirty-six (36) month history. Out of State Drivers are required to submit a 36-month history MVR from their prior State of residence(s).

    Working Conditions

    Needs to be able to successfully perform all required duties. Office Environment; some travel and weekend work is required. Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. UTRGV is a distributed institution, which may require presence at multiple locations throughout the Rio Grande Valley.
