Job Title Administrative Assistant - Corrections - Level 7 - (1.0 FTE)
Job Description
Maintain the operation of the AEL Offices at Iowa State Penitentiary ( ISP ) and Mount Pleasant Correctional Facility ( MPCF ). Duties include, but are not limited to: Preparing reports, maintaining student records, assisting with High School Equivalency Diploma ( HSED ) testing, requisitioning supplies, intercampus mail, correspondence, filing, duplicating, roster preparation, and other duties as assigned.
This is a full-time position with an hourly starting wage of $15.30 per hour. Hours for this position are: Monday – Friday 7:00 am – 3:30 pm with half the week at ISP and half the week at MPCF . Benefits include single medical insurance, single dental insurance, $8.00 toward vision insurance, $50,000 life insurance, long-term disability, paid sick leave, paid vacation, paid spring and Christmas breaks and participation in IPERS or TIAA retirement plan.
Terms of employment are per bargaining agreement between SCC Board of Trustees and the SCC Education Support Association, employment contract and relevant policies of the Board of Trustees.
The Corrections – Administrative Assistant will abide by the employment contract and relevant policies and guidelines of the SCC Board of Trustees.
Essential Duties Summary
+ Commitment to the comprehensive community college philosophy.
+ Follow SCC and DOC (department and facility) policies and procedures.
+ Secretarial, clerical, and receptionist duties as assigned, including answering the telephone and greeting visitors.
+ Keep up to date on office communications systems and procedures.
+ Prepare reports, correspondence and other documents, including composing initial drafts.
+ Conduct research relevant to routine responsibilities and assigned tasks, including securing information for purchasing decisions.
+ Requisition supplies for the AEL correctional education program.
+ Enroll new students in appropriate classes based on educational assessment and scheduled treatment groups and/or work assignments.
+ Assist with HSED testing.
+ Coordinate with supervisor and designees in preparing monthly, quarterly, and annual reports for DOC and SCC .
+ Maintain:
o Student records (e.g. contact hours, HSED scores, exit dates) as required by SCC and DOC .
o Budget records, including preparation of purchase orders, verification of receipt through close cooperation with the Business Office, Bookstore Managers, and Correctional Education Coordinator/Instructors.
+ Assist in the collection of student records such as: HSED /high school transcript and college transcript.
+ Distribute graduation diplomas/certificates.
+ Verify and collect class lists using the Instructors’ input when necessary.
+ Be flexible and adjust to change as needed.
+ Handle confidential matters with discretion.
+ Perform with a high level of personal and professional integrity.
+ Attend trainings and meetings required by SCC , DOC and IWD .
+ Other duties as assigned.
Must meet DOC Security requirements. Attendance at three-week security training at DOC Training Academy in Coralville is required.
Required Qualifications
Education:
+ High School diploma/equivalent required.
+ Some college coursework required; AA degree or AAS in Office Administration preferred.
Experience:
+ Minimum two years related experience in office administration required.
+ Experience preparing statistical reports, scheduling appointments, and working with confidential information required.
+ Experience proctoring tests and managing records of grant-funded programs preferred.
+ Excellent interpersonal and communication skills, including telephone etiquette appropriate for a professional workplace.
+ Knowledge of computer software applications with specific competency in Microsoft Office suite of programs; ability to learn and develop competency in SCC’s administrative software (Datatel) and Department of Corrections ( DOC ) ICON system.
+ Keyboarding accuracy and excellent proofreading ability.
+ Ability to:
+ Learn and apply SCC and DOC policies and procedures.
+ Operate standard office equipment and manage filing system.
+ Learn and develop competency in new software applications.
+ Maintain strict confidentiality.
+ Manage multiple tasks, prioritize and complete in a timely manner.
+ Work independently and be a self-starter, including conducting research relevant to routine responsibilities and assigned tasks.
+ Work effectively with people of diverse background and needs.
+ Maintain a professional demeanor while dealing with varied and stressful situations
+ Understand “chain of command” with regard to SCC and DOC .
+ Possess a valid driver’s license.
+ Be familiar with the mission of a community college.

Physical Demands
Must have the ability and mobility to serve a rural service area; travel within the SDR 16 required.
