Job Description:
The facilities and operations coordinator (Management Analyst 1) performs administrative support tasks for the Director of Operations, IHCC Building Maintenance Supervisor, DCTC Building Maintenance Supervisors, and the Building Service Manager to ensure effective and efficient operations of the department
Responsibilities include:
+ Maintain Operations Department Documentation and blue prints
+ Perform Administrative Support Functions for Director of Operations
+ Manage IHCC and DCTC Operations JIRA Ticket Requests and incoming maintenance calls for both campuses.
+ Assist with departmental hiring, staffing and personnel related activities
+ Perform other duties as assigned to ensure the smooth functioning of the department and maintain the reputation of the organization as a viable business partner.
Minimum Qualifications** (Resume must reflect all minimum qualifications to be considered) **:
+ 2 years of paid work experience in any of the following areas: project management or construction management.
+ A bachelor’s degree may substitute for one (1) year of professional experience, an associate’s degree may substitute for six (6) months’ experience
+ Experience using database management skills sufficient to carry out advanced administrative tasks and compile accurate information and prepare clear and comprehensive reports
+ Ability to research information, analyze reports and convey pertinent information, use good judgement to be able to acknowledge issues or concerns in existing processes, and problem-solve for process improvements.
+ Ability to schedule and organize trainings, meetings, spaces and training evaluations.
+ Experience using customer service and communication skills sufficient to provide courteous, effective, and timely service and to explain policies and/or processes to internal and external customers.
+ Proficiency with computers and software applications (i.e. Microsoft Word, Excel, Outlook or similar applications) sufficient to create and interpret reports, spreadsheets, budgets, databases, and correspondence.
+ Strong communication, interpersonal, and organizational skills.
+ Ability to work under pressure, meet deadlines, and manage multiple priorities.
Preferred Qualifications:
+ Knowledge and understanding of data privacy laws (e.g., FERPA).
+ Knowledge of the MinnState Board Policies, Design Standards, and project procurement procedures.
+ Experience with electronic construction project management and construction in Higher Education environment.
+ Experience with State of MN and MnSCU facilities databases.
+ Experience with construction and/or facility operations in higher education.
Physical Requirements:
+ Maintain a stationary position for a prolonged period of the day.
+ Use a keyboard and/or phone for extended periods of time which may include repetitive motion.
Other Requirements:
In accordance with the Minnesota State Vehicle Fleet Safety Program, employees driving on college/university business who use a rental or state vehicle shall be required to conform to Minnesota State’s vehicle use criteria and consent to a Motor Vehicle Records check.
