In this role, you'll provide advanced support to the Director of Strategic Initiatives and Partnerships, exercising discretion and independent judgment on a variety of tasks. You'll be at the heart of our operations, planning and executing administrative functions, assisting with complex writing assignments, managing organizational needs, scheduling, and handling sensitive documents.     Opportunities to Contribute

    + Administrative Assistance: Assists the director with complex writing assignments, including memorandums of understanding, strategic initiative evaluations, and project reports. Reviews and monitors project and program timelines, proactively identifying issues. Inputs and analyzes raw data from evaluations into Excel, developing graphs and images for reports. Analyzes requirements for projects or initiatives and pre-populates strategic initiative evaluation templates with program information. Researches and responds to inquiries about office procedures and processes. Coordinates committee meetings, develops and distributes agendas, takes minutes, and manages disposition process for committee outcomes. Develops and maintains administrative office procedures for improved efficiency. Coordinates business travel, develops/provides itineraries, and submits receipts. Coordinates schedules for multi-staff meetings.

    + Hiring: Serves as the backup for the Senior Staffing Coordinator, managing departmental hiring steps with Hiring Managers and ensuring the hiring process continues smoothly in their absence. Assists in scheduling onboarding meetings for incoming FTE staff. Monitors and ensures compliance with office policies and procedures.

    + Aggie Recovery Community: Reviews, formats, and edits ARC documents, including policies, procedures, letters, and memorandums. Assists in establishing procedures to ensure compliance with regulations. Coordinates office records retention and maintains reference materials. Supports event coordination efforts, including mailing thank you cards, collecting/submitting receipts, setting up, and breaking down.

    + Operations: Develops first-draft procedures to improve organizational effectiveness and provides technical information regarding administrative procedures. Distributes mail to A. P. Beutel Student Health Center. Cross-trains to provide backup administrative support to the assistant directors of front desk operations, including answering phones, directing students, and completing special projects as assigned.

    + Business/Finance: Coordinates inventory and maintenance of office supplies and equipment related to mail needs.

    Minimum Required Qualifications

    + Bachelor's degree or equivalent combination of education and experience.

    + Two years of experience in office administration.

    A well-qualified candidate will also possess

    + Experience providing positive and cheerful customer service by phone, email, and in person.

    + Experience handling sensitive confidential and/or financial documents.

    + Strong interpersonal skills to develop positive working relationships across the department.

    + Critical thinking and autonomous problem-solving skills.

    + Initiative balanced with the ability to receive direction and make judicious decisions independently.

    + Strong organizational skills, including time management, prioritizing, tracking, and follow-through.

    + Knowledge of word processing, spreadsheet, and database applications.

    + Excellent written communication, analytical, interpersonal, and organizational skills.

    + Ability to work in a fast-paced environment.
