    Zondervan Bibles (Z Bibles) is looking for an Editorial Coordinator to join our dynamic team. Z Bibles creates Bibles in multiple formats and multiple translations, primarily the NIV, but also NIrV, NRSVue, Amplified, and NASB.

     

    This Editorial role assists the Senior Managing Editor (SME) in managing Bible reprints from start to finish. With a strong emphasis on project management, this role includes engaging with cross-functional team members frequently, meticulously tracking status and files and managing a complex set of critical details. Additionally, this role supports the editorial team in the hiring of freelancers, along with various editorial tasks as assigned. The Editorial Coordinator also provides full team support through the ongoing management of Bible catalogs and sales conference metadata.

     

    This is a hybrid position based out of our Grand Rapids, MI office.

    Responsibilities

    Editorial:

    + Reprint Corrections – Manage the Zondervan Bibles, ZonderKidz Bibles, Global Language Bibles, and Biblica Bibles reprint correction process from beginning to end. Meeting strict deadlines and managing multiple reprints at one time, this includes logging alerts in MDM, filing marked up files from editorial and marketing, completing work requests for Pre-Press and Composition upon the request of Production, reviewing and routing to the appropriate marketers and editors, and ensuring all updates are made and archived accordingly.

    + Comprehensive Data Checks – In conjunction with the Sales Conference Cycle, which occurs three times annually, partner with the senior managing editor to ensure all data is thoroughly reviewed and updates are made in a timely, consistent, and comprehensive manner.

    + Freelancer Process – Along with editors and publishers initiate/complete process for enlisting and hiring freelancers. Maintain communication with both the assigned proofreader, Bibles’ editorial, and the company responsible for payment to ensure clear directions and timelines are met. Manage assignment deadlines, flow, evaluation, approvals of estimates, statements of work, and payment of invoices for editorial work assigned to ICs (macro editors, content editors, copy editors, proofreaders, indexers, theological reviewers).

    + Design Meetings – Ensures Sales Conference catalog deadlines are met by assisting the SME in tracking and managing the Bible design schedule and agenda, updating the review schedule live during the meetings, managing and sending out the meeting agendas, and taking notes for key action items.

    + Assist with taking notes during some Bible Group meetings, including but not limited to: Pre-Production Planning Meetings, Production Rounds, Creative meetings, PCF and Sales Conference.

    + Cover Routings - Oversee the cover routing process, ensuring timely review and feedback of team members, accuracy, and editorial excellence by proofreading product packaging, covers, stamping files, and endsheets.

    + Title set ups – Set up project records/ISBNs in MDM as assigned by the SME, ensuring all fields are entered fully and accurately with publication dates scheduled by the Managing Editor. Set up Marketing ISBNs at the request of Bibles Marketing staff to ensure alignment with corresponding product releases.

    + Title Plan – Refresh and review HCCP Bibles Title Plan for accuracy on a weekly basis, ensuring title setups are visible and categorized in the correct sales cycle.

    + Pub Cycle Forums – Assist with scheduling as needed and ensure files are posted to the Sales folders by the deadlines. Assist SME, Publishing, and Marketing Team members with reviewing PCF spreadsheet and slides to ensure accuracy of all data and images and make updates to MDM records as needed.

    + Editorial Support – Perform editorial operations support tasks (format proofreading, blues checks/CTP proofs, prepress checks, small proofreading jobs), assist Bible Development Editors with editorial tasks as requested (Copyright pages including updated templates and updates for all information on the copyright page, pagination guides, UPS mailing slips, printing manuscripts).

    + Copyright Registrations – Coordinate with Legal to ensure copyrights are obtained for assigned projects and serve as the primary contact on all library of congress questions from Editorial.

    + LOCs – Assemble the Library of Congress CIP data and manage the entire CIP application/correction and implementation process.

    + Comp Copies – Serve as a back up to the Sr. Administrative Assistant in the comp copy ordering process.

    + DNRs/OPRs – Promptly enter DNR alerts and send out monthly OPR notices, ensuring the tracking spreadsheet is kept up to date.

    + Prioritize and manage miscellaneous editorial project communication as assigned by the SME.

    + Provide backup to and assist the SME in managing resources and providing accountability.

    + At the direction of the SME or Sr. Director of Publishing Operations, support and manage projects as appropriate to meet changing needs and requirements (i.e.: data cleanup projects assigned, such as Global Works.)

    Additional responsibilities:

    + Marketing copy and packaging coordination—ensure accuracy and consistency while facilitating efficient workflows

    + Proofread interiors and packaging at reprint, closely monitoring necessary changes and adjusted specs

    + Maintain schedules for and routing of marketing copy to stakeholders for review and approval

    + Project and asset organization—help organize and manage materials for team projects, ensuring smooth workflows and accessible resources.

    + Assist with Sales Conference and PCF presentations by managing schedules; ensuring deadlines are communicated clearly; and uploading and organizing images, comp titles, and other necessary materials.

    + Catalog updates and maintenance—take responsibility for maintaining and updating product catalogs to ensure accuracy and usability.

    + Manage quarterly updates to the Edelweiss catalog, following established team processes.

    Qualifications

    **Knowledge/Work Experience:** Experience in publishing/editorial work preferred; experience in project management preferred

    **Education:** B.A. in English, Communications, Business, or a related area

    **Industry Knowledge:** Clear understanding of the Christian publishing industry preferred.

    Skills:

    + Highly organized with proven ability to manage schedules, workflows, and deadlines for multiple projects/tasks at a time.

    + Strong project management skills.

    + Proficient in Microsoft Office Suite (Word, Excel, Outlook).

    + Strong written and verbal communication, with excellent grammar, spelling, and proofreading skills.

    + Detail-oriented, ensuring accuracy in content, packaging, and marketing materials.

    + Effective at coordinating with stakeholders and ensuring smooth project execution.

    + Capable of managing digital assets and maintaining updated catalogs.

    + Able to follow step-by-step processes while understanding overall project goals.
