+ Hobart and William Smith Colleges is looking for a Registrar Coordinator who is excited about providing exceptional service to HWS students, faculty, staff and alumni as part of a dynamic Registrar team. Reporting directly to the Registrar, the position provides administrative and technical support for the office and serves as the front-facing customer service representative, acting as a resource for the entire community around grading, degree declaration, classroom reservations, graduation, diplomas, etc. The work is varied and encompasses a wide variety of administrative responsibilities. The role requires the ability to work independently, with attention to detail, and a good understanding of policy and procedures.
The ideal candidate will come with energy and a willingness to learn, as well as the interpersonal and communication skills to serve a diverse population.
Essential Responsibilities:
• Manages the phones, walk-ins, and emails for the office.
• Enters and maintains student data - major and minor declarations, advisor contact, demographic and address information, transfer and AP credits, course withdrawals, grade changes, Dean’s list, probation, honors and academic awards, etc.
• Produces enrollment and degree verifications.
• Issues official and unofficial transcripts and manages the transcript requesting process through a third-party vendor.
• Creates, maintains, and manages the archiving of individual student files, both paper and electronic.
• Understands, complies with, and communicates around the Family Educational Rights and Privacy Act.
• Assists with on-line processing of student registrations, drop/adds, grades, data-entry and classroom scheduling.
• Coordinates and oversees the degree application process and orders and manages diplomas.
• Interviews, hires, and supervises student employees.
• Manages the office by creating purchase orders, processing payments, and ordering office supplies.
• Other duties as required.
OTHER INFORMATION:
This is a full-time, 12 month Salaried/non-exempt, benefits eligible administrative position. Occasional evening or weekend work will be required, in supporting events. This position description is not all-inclusive, as other tasks or responsibilities may be assigned. Pay range is $21 - $23 per hour.
Minimum Qualifications:
+ A college level degree (Associate’s or Bachelor’s) preferred.
+ Knowledge of, or ability to quickly learn, Microsoft Office software tools (Word, Excel, PowerPoint, Outlook) as well as other software systems (25Live, PeopleSoft, etc.).
+ Ability to manage multiple, competing, and time-sensitive projects in a fast-paced environment.
+ Strong interpersonal and communication skills, and a sensitivity to working with a multi-cultural, diverse community.
+ Self-directed with an ability to work independently.
+ Strong attention to detail.
+ Ability to work collaboratively with constituents throughout the organization at every level.
+ Flexible and adaptable with a strong customer service orientation.
