    Job Summary

    The Office of Enrollment Management Information Technology is seeking a CRM Manager for Graduate Enrollment Management. This is a full-time/part-time (1.00 FTE ), 12-month, professional faculty position.

     

    The Customer Relationship Management ( CRM ) Manager for Graduate Enrollment Management is a full-time (1.0 FTE ), 12-month, professional faculty position within the Office of Enrollment Management Information Technology ( EMIT ) at Oregon State University. Reporting to the Executive Director of Enrollment Management CRM with a dotted line to OSU’s Director of Graduate Admissions, this position holds primary responsibility for the overall administration, maintenance, configuration, and advancement of the graduate admissions instance of the Slate CRM .

     

    This position plays a critical role in bridging the gap between technical implementation and strategic enrollment goals by serving as a key technical liaison between OSU graduate admissions and the university’s 100+ graduate programs, along with other campus stakeholders. The CRM Manager will apply deep expertise in Slate CRM to support training, optimize business processes, and support inclusive and impactful communication strategies to attract and enroll graduate students.

    Key Responsibilities

    35% – Stakeholder Engagement, Training, and Communication Support

     

    + Serve as the primary liaison and technical consultant for graduate admissions and graduate program staff using Slate CRM .

    + In coordination with graduate admissions staff, provide onboarding, training, and ongoing technical support for academic units and other stakeholders.

    + Evaluate stakeholder needs and propose sustainable and scalable CRM -based solutions for developing and improving recruitment communications, application review, and enrollment processes.

    + Collaborate with OSU graduate admissions and other campus partners to design, implement and support effective strategic communication campaigns, ensuring inclusive and accessible messaging.

    + Foster strong relationships across the Division of Enrollment Management, academic colleges and administrative offices to support the coordinated and institutionally optimized use of Slate.

     

    30% – CRM Administration and Configuration

     

    + Manage day-to-day functionality of the Slate CRM for graduate admissions, including portals, forms, queries, fields, events, communications, datasets, and user roles.

    + Develop sustainable, scalable business processes to support application intake, review, decision release and subsequent pre-enrollment processes.

    + Lead the development of configurations (application questions, workflows, reader forms, etc.) to support admission and enrollment processes for new graduate programs as they are launched.

    + Coordinate with OSU graduate admissions on annual updates to configurations for the university’s 100+ graduate programs.

    + Collaborate with IT teams on integrations and data validation with Banner and other systems.

    + Monitor and troubleshoot data imports, exports, and feeds; perform routine audits and maintenance.

     

    20% – Business Analysis and Strategic Operations

     

    + Evaluate current processes and system use; recommend and implement improvements.

    + Translate business requirements into technical specifications and implement workflow changes.

    + Produce complex reports and dashboards; assess the effectiveness of recruitment and application initiatives.

    + Write documentation and user guides for technical processes and workflows.

     

    10% – Security and Data Governance

     

    + Manage user permissions and data access protocols in alignment with best practices and direction from OSU graduate admissions and the Office of Graduate Education.

    + Ensure compliance with university policies and federal/state regulations for data handling.

    + Collaborate on university-wide strategies for retention, archival, and auditing of CRM data.

     

    5% – Professional Development and Continuous Improvement

     

    + Participate in conferences, webinars, and internal trainings to stay informed on CRM technology advancements.

    + Engage with the Slate user community to identify emerging best practices.

    + Proactively investigate the capacity of software enhancements to support institutional competitiveness and graduate enrollment strategy.

    What You Will Need

    + Bachelor’s degree in Business Information Technology, Computer Science, or related field.

    + 3 or more years of experience working with CRM technology, preferably Slate, in a higher education setting.

    + Demonstrated ability to manage enterprise-level systems, develop technical workflows, and perform system analysis.

    + Demonstrated experience providing consultation or training to a variety of user types.

    + Excellent oral and written communication skills.

    + Strong attention to detail, organizational skills, and ability to manage competing priorities.

    + Experience working with diverse teams and a commitment to inclusion and equity in system design.

     

    This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

    What We Would Like You to Have

    + 4+ years of Slate CRM experience.

    + Knowledge of Banner SIS .

    + Experience with SQL , HTML , Liquid Markup, CSS , or API integrations.

    + Prior experience in a graduate school or enrollment management context.

    + Familiarity with project management and Agile methodologies.

    Working Conditions / Work Schedule

    This position is eligible for remote or hybrid work arrangements with supervisor approval. Occasional travel or on-campus meetings may be required. The position may require flexible hours during critical project launches or CRM maintenance periods.
