Description We are looking for a detail-oriented Administrative Coordinator to join our team on a contract basis in Lake Forest Park, Washington. In this role, you will play a key part in managing permit applications, maintaining accurate records, and providing exceptional administrative support to the Community Development Department. This position requires strong organizational skills and a commitment to delivering high-quality service.
Responsibilities:
• Receive and process building and land use permit applications, ensuring all submitted information is complete and accurate.
• Assign permit numbers, collect and receipt applicable fees, and enter application details into the permit tracking database.
• Set up, organize, and maintain permit files, routing them to the appropriate departments for review.
• Maintain and update accurate databases for permits, tax parcel information, and personnel activity reports.
• Audit files for expiration, issue notification letters for renewals and inspections, and manage completed project building plans for disposal.
• Explain the permit process to applicants, including regulations, approval timelines, and required activities.
• Conduct research on prior building and land use actions to provide solutions and clear guidance to customers.
• Create and maintain statistical data related to permitting activity for reporting purposes.
• Provide administrative support to the Community Development Department, including calendar management and coordination of tasks. Requirements • Proficiency with tools such as ADP Financial Services, Concur, CRM systems, and Cisco Webex Meetings.
• Experience in calendar management and budget processes.
• Strong skills in answering inbound calls and providing clear communication.
• Familiarity with permit tracking databases and statistical data management.
• Ability to research and analyze property documentation and legal status.
• Exceptional organizational skills and attention to detail.
• Previous experience in administrative roles or supporting community development teams.
• Knowledge of applicable building codes and regulations is preferred. TalentMatch®
