Our financial services client in Carlsbad is seeking a dependable Branch Office Administrator to join their highly-successful team. This role combines administrative excellence with stellar organization skills, serving as the backbone of the branch’s daily operations. Whether you’re dealing with internal staff, valued clients, or compliance needs, your contributions will help strengthen the branch’s reputation for service excellence.
What You’ll Be Doing:
+ Client Support: Act as the first point of contact for many clients, assisting with inquiries, account updates, and service requests while ensuring a high level of professionalism and care.
+ Coordinate Meetings and Calendars: Manage the branch team’s schedules, book meetings, and assist with event coordination for both staff and client-facing seminars.
+ Document Management: Maintain detailed records of client interactions, transaction logs, and all necessary compliance documentation.
+ Report Preparation: Assist with creating and formatting financial reports for account managers and clients using Microsoft Excel and CRM tools.
+ Office Operations: Ensure daily office operations run smoothly (ordering office supplies, managing mail, troubleshooting equipment issues).
+ Compliance Administration: Stay up-to-date on regulatory requirements and assist leadership in adhering to guidelines related to security, privacy, and ethical conduct.
Requirements
+ Experience: Minimum of 3+ years in office administration, preferably in financial services or a similar field.
+ Technical Proficiency: Strong Microsoft Office skills, especially in Excel and PowerPoint. Experience using CRM software is highly desirable.
+ Communication Skills: Exceptional communication and interpersonal skills to work directly with clients and team members.
+ Organizational Abilities: You thrive in a fast-paced environment and are exceptionally skilled at juggling multiple projects while maintaining attention to detail.
+ Education: A bachelor’s degree in business, finance, or a related field is preferred but not required.
Compensation: $27–$31/hr, based on experience.
