    Description

    We are looking for an experienced Procurement & Facilities Manager to join our team. In this Contract-to-permanent role, you will serve as a key liaison between Facilities Services and the finance department, overseeing financial processes and ensuring accurate reporting of budgets and forecasts. This position plays a pivotal role in managing procurement operations and supporting financial management.

    Responsibilities:

    • Review and verify invoices and receipts for accuracy, ensuring alignment with purchase orders and quoted prices before authorizing payments.

    • Maintain and track purchase orders, contracts, insurance documentation, and vendor relationships for Facilities Services.

    • Generate and manage purchase orders while ensuring compliance with all applicable regulations and requirements.

    • Audit and update transaction details to ensure accurate postings across Facilities Services accounts.

    • Process modifications to purchase orders based on change orders, reconciling and closing them out with related billings.

    • Collaborate with the finance team during year-end close to forecast accruals and finalize projections in coordination with cost center managers.

    • Monitor and analyze budget allocations, cross-department cost distributions, and purchasing activities.

    • Ensure contractor insurance compliance and status updates.

    • Work alongside finance to conduct audits of spending limits and requirements, maintaining an up-to-date matrix of financial data.

    Requirements

    • Bachelor’s degree in Business Administration, Economics, Finance, or equivalent work experience.

    • At least 5 years of progressive experience managing budgets

    • Demonstrated experience in accounts payable and core business functions.

    • Proven background in procurement and contracting

    • Advanced proficiency in Microsoft Office Suite, particularly Excel, as well as experience with ERP systems (experience with project management software preferred)

    • Strong understanding of financial management in capital projects and facilities-related work.

    • Exceptional organizational and analytical skills, with attention to detail.

    • Familiarity with vendor management, purchasing processes, and compliance requirements.
