    Overview

     

    Assists and provides support in the administration of policies and procedures, employee in-processing, personnel maintenance, personnel reporting and data distribution. Responsible for providing a wide range of administrative support ABOS Ascenion Island. Works on assignments that are moderately complex in nature. Requires problem solving, ability to work independently or as a team. The ideal candidate will have a high level of professionalism, organizational, time-management and administrative skills. Must be a cross-functional integrator, capable of influencing other departments to collaborate and improve or develop the most efficient processes for all stakeholders. Provision of information to internal and external customers regarding personnel actions with a high degree of discretion and confidentiality.

    Responsibilities

    + Welcome new employees upon arrival and ensure completion of local onboarding requirements, including room assignments, government email setup, base escort training, coordination with the gaining department manager, and scheduling Vectrus HR orientation.

    + Issue Vectrus shirts, maintain inventory, and track distribution, returns, and cleaning.

    + Coordinate with the U.S. Government Point of Contact (POC) to prepare, submit, and track Local National (LN) vetting packets through completion, including photo badge appointments and renewal scheduling.

    + Support administrative requirements for project and program-related efforts.

    + Follow up on correspondence requiring review, approval, and/or response.

    + Respond to routine inquiries from internal and external customers; serve as an information source on company policies and procedures.

    + Arrange and coordinate meetings, including scheduling, preparing presentation materials, taking minutes, and distributing meeting notes.

    + Serve as the point of contact with the Vectrus Training Department; troubleshoot training issues, ensure employee compliance, and support documentation with screenshots or evidence as needed.

    + Assist with purchasing requirements, including processing and expediting purchase requisitions (PRs), purchase orders (POs), and billing invoices.

    + Provide in-processing and out-processing support for all employees.

    + Enter and maintain employee information in the company database system.

    + Maintain daily personnel accountability for both Expatriates (EXPAT) and Foreign Nationals.

    + Assist with administrative and personnel actions, including updates to employee personal data in HR systems such as UKG, PayFactors, and iCIMS.

    + Facilitate personnel file audits and manage file closeout and e-filing for terminated employees.

    + Track employee leave requests and maintain related logs.

    + Maintain trackers such as requisition logs for vacancies and assist in coordinating staffing needs.

    + Facilitate ad hoc and demographic reporting through HR databases and project HR systems (e.g., vacation, separation, and termination reports).

    + Assist with processing of stipend payments, bonuses, annual offers, vacation travel allowances, and end-of-service gratuities.

    + Accurately process Job Interest Forms (JIF), Exception to Policy (ETP) requests, and Personnel Transaction Forms (PTFs) for new hires, promotions, transfers, and terminations.

    + Provide high-level customer support to employees and management, including responding to information requests and supporting audits or monitoring activities.

    + Ensure cleanliness, safety, and professionalism in all assigned work areas.

    + Safeguard and properly utilize all government and contractor-provided property and equipment.

    + Ensure compliance with time reporting procedures and accurately complete timesheets.

    + Perform other duties as assigned to meet mission and organizational requirements.

    Qualifications

    Education & Certifications:

    + High school diploma or equivalent required.

    + Associate’s or Bachelor’s degree in Business Administration, Human Resources, or a related field preferred; additional relevant experience may be substituted in lieu of formal education.

    + Must be a U.S. Citizen with a current, valid U.S. Passport and Driver’s License.

    + Must possess and maintain a valid U.S. Secret or Interim Secret Security Clearance.

    + Must be able to read, write, speak, and understand English fluently.

    + Must meet all employment and deployment qualification requirements, including but not limited to: psychological, medical, dental, drug screening, and background checks.

    + Must successfully complete hands-on CBRN (Chemical, Biological, Radiological, and Nuclear) defense training, including fit testing of DoD-provided protective gear.

    Experience:

    + Minimum of three (3) years of administrative or human resources experience; experience supporting large government contracts or Department of Defense (DoD) programs preferred.

    + Experience in contingency operations or supporting overseas contracts is desirable.

    Skills & Competencies:

    + Strong communication, interpersonal, and organizational skills.

    + Proven ability to manage multiple tasks, prioritize effectively, and meet deadlines independently.

    + Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint); SharePoint experience is a plus.

    + Ability to work flexible hours, including extended hours as needed to meet mission requirements.

    + Knowledge of employment law, HR principles, and government contract requirements is an advantage.
