    Job Title: Receptionist / Office Coordinator (Bilingual)

    Job Description

    As a Receptionist / Office Coordinator, you will be the first point of contact for visitors, clients, and employees, providing a warm and professional welcome. You will manage communications, maintain a clean and organized reception area, and support various administrative tasks. Your role will also involve coordinating meetings and events, managing office supplies, and assisting with employee-related tasks.

    Responsibilities

    + Greet and welcome visitors, clients, and employees with professionalism and courtesy.

    + Answer incoming calls, direct them to the appropriate staff members, and take messages as needed.

    + Manage office communications including emails, deliveries, and office mail.

    + Ensure the reception area is clean, organized, and stocked with necessary supplies.

    + Maintain office schedules, meeting rooms, and appointments.

    + Handle office supply inventory, placing orders when necessary, and ensuring proper stock levels.

    + Assist with various administrative tasks, including data entry, filing, and preparing documents.

    + Coordinate meetings and events, including scheduling, room preparation, and catering arrangements if needed.

    + Support office management and HR with employee-related tasks, such as onboarding or internal communications.

    + Provide backup support to other departments and assist with ad-hoc projects as assigned.

    + Track inventory levels, order necessary ingredients and supplies, and manage food costs to ensure profitability.

    + Monitor and order necessary office supplies, keeping inventory updated.

    + Manage accommodation and other needs for employees and clients, including conference rooms, catering, and transport.

    + Plan and confirm appointments, update agendas, and manage upcoming visits for clients and employees.

    + Coordinate meal orders for internal meetings and ensure proper authorization procedures are followed.

    + Ensure cleanliness of all meeting spaces and liaise with the cleaning company when needed.

    + Set up meeting rooms, arrange required equipment and resources, and provide snacks and beverages.

    + Ensure meeting rooms are tidy and in order once meetings conclude.

    Essential Skills

    + Bilingual in both Spanish and English.

    + 1-2 years of experience in an administrative or office support role, preferably in a receptionist or customer service position.

    + Strong verbal and written communication skills.

    + Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

    + Excellent organizational skills and attention to detail.

    + Ability to multitask and prioritize tasks in a fast-paced environment.

    + Professional and friendly demeanor with the ability to interact with individuals at all levels.

    + Ability to handle confidential information with discretion.

    Work Environment

     

    The work environment includes an air-conditioned manufacturing facility equipped with industry 4.0 technology. Employees may be required to lift and/or move up to 35 pounds, stand, walk, stoop, kneel, or crouch as needed. Use of Personal Protection Equipment will be required, and good manual dexterity and multi-limb coordination are necessary. The facility also features electric charging stations.

    Pay and Benefits

     

    The pay range for this position is $20.00 - $22.00/hr.
