Principle Responsibilities & Position Purpose:
Answers incoming reservation calls, providing prompt and courteous service. Books all group and transient room reservations following the proper procedures through Opera. Promotes hotel services, amenities and upsells products to the guests. Processes and handles group rooming lists, reservations, and employee reservations requests by inputting data into the reservations system.
ESSENTIAL FUNCTIONS
Monitor the Group Segment:
+ Ensure that all groups are entered into Passkey with 72 business hours of turnover from Sales.
+ Review groups for proper information and enter shoulder nights whenever possible.
+ Prepare weekly pick up report and attend weekly scrub meeting
+ Review all pick up notes to insure we have the proper amount of rooms blocked within the group, and to cover shoulders whenever possible.
+ Check for duplicate reservations by calling same name bookings
+ Send rooming lists/pick up reports to CS as requested.
+ Set up billing for groups using weekly resumes.
+ Attend Pre Con meetings when requested by CS
Assist with the efficient operation of the reservations department in selling of guest rooms to accommodate guest needs and maximize revenue
+ Greets customers immediately with a friendly and sincere welcome that can be felt through the phone. Uses a positive and clear speaking voice, listens to and understands requests, responds with appropriate action and provide accurate information, such on outlet hours, events, etc. C ompletes and creates reservations for hotel guests, sending folios, quoting rates, providing alternatives to our property if unable to accommodate the guests. Completes the reservation process by inputting all guest information into a computer system, confirming pertinent information including arrival dates, number of nights and room rate. Makes appropriate selection of rate type depending on guest needs and the current sell strategy. Delivers a confirmation number for all reservations made.
+ Receives special requests from guests, and responds appropriately or forwards requests to appropriate team members for decisions and actions, including any email inquiries.
+ Review no shows/cancellations and process according to policy.
+ Transfer all incoming calls to the proper area
+ Assist with monthly reconciliations
+ Modify 3rd party reservations
Regular attendance in conformance with the standards, which may be established by FLIK from time to time, is essential to the successful performance of this position.
Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel.
OTHER DUTIES
Assimilate into The FLIK Platinum Service culture through understanding, supporting and participating in all elements of FLIK Platinum Service. Demonstrate working knowledge of the service standards.
Regular attendance in conformance with the standards which may be established by Flik from time to time, is essential to the successful performance of this position.

+ Ability to deliver presentations in a concise, well-organized manner
+ Knowledge of Opera PMS a plus
+ Knowledge of CVENT/Passkey a plus
+ Strong experience or adaptable training in the use of automated systems, personal computers and software programs.
QUALIFICATION STANDARDS
EDUCATION
High School graduate or equivalent required.
EXPERIENCE
Experience with travel industry reservation systems and hotel property management systems mandatory.
