The Fulfillment Specialist - HST / Clinical Administrative Assistant is a fully onsite role with responsibilities for both HST Fulfillment and Clinical Administrative duties. Time is split 50/50 between Fulfillment and Clinical duties. The position is responsible for setting up home sleep study equipment and CPAP equipment and accurately shipping to patients as well as cleaning, preparing, inventorying, and stocking HST and PAP equipment. In this role, the incumbent will assist patients over the phone and occasionally in person. The expectation of this position is to provide a first-class patient experience, with every patient interaction.
Essential Duties & Responsibilities
HST Fulfillment duties:
+ Sets up equipment based on sales order requirements
+ Initializes home sleep study equipment
+ Prepares HST or PAP equipment for shipping
+ Responsible for troubleshooting issues with shipping including filing claims with shipping carriers such as USPS, UPS, and FedEx
+ Cleans and disinfects HST and PAP equipment per company infection control procedures
+ Creates new or updated sales orders as necessary
+ Stocks equipment and perform inventory counts to ensure all equipment is accounted for and tracked
+ Communicates and educates patients on medical equipment and sleep disorders
+ Communicates with patients, physicians and other health care staff regarding diagnosis and treatment plans
+ Contacts patients by telephone to collect outstanding pending equipment
+ Works competently in Brightree to access and retrieve patients, insurance, and billing information as needed
+ Supports the Clinical department and warehouse with inventory control, cleaning and administrative duties as needed
+ Work mandatory overtime as scheduled
+ Other duties as assigned
Clinical Admin Duties:
+ Creates set-up notes, works in Brightree to push orders through the process
+ Reviews patient files, both electronic and hard copy, for accuracy and for compliance with BetterNight policy and procedures
+ Make notes in files and Brightree system as required by company policy and current health care standards
+ Calls patients to discuss issues regarding their therapy
+ Downloads usage and therapy data from PAP devices per BetterNight policy and procedure
+ Meets face-to-face with patients to dispense equipment after appointments completed by Respiratory Therapists
+ Returns devices and other returned equipment into appropriate inventories within the Brightree system
+ Assists with walk-in and patient overflow when possible and as needed
+ Ensures all area-related price quotes given to customers/patients are appropriate and meet current company pricing policy
+ Explains co-pays and insurance coverage to patients as necessary
+ Occasional travel to and working in other offices will be required
+ Responsible for keeping all patient charts and information orderly, confidential, current and HIPAA compliant
+ Works closely with Intake, Benefits and Billing to create a clear open dialog for issues when they arise with the billing process to minimize errors on the front end
Qualifications & Skills
HS, GED or equivalent required. Prior experience in medical equipment cleaning and handling is preferred. Must be detail-oriented, organized, and neat in personal and habits. Working knowledge of Spanish language is helpful, but not required.
