Description We are looking for a detail-oriented Calendar/Docket Clerk to join our team in Los Angeles, California. This role is integral to maintaining the organization and efficiency of our firm’s calendaring, docketing, and conflict-checking processes. The ideal candidate will have strong administrative skills, a thorough understanding of legal procedures, and the ability to work collaboratively with both internal teams and external vendors.
Responsibilities:
• Maintain and update the master firm calendar to accurately schedule court appearances, hearings, trials, and other key deadlines using Calendar Rules calendaring software.
• Conduct comprehensive conflicts checks and manage the firm's conflict database to ensure compliance and accuracy.
• Open new matters following firm policies and ensure adherence to procedural and compliance standards.
• Oversee the closing of completed matters, including proper documentation, storage, and adherence to destruction timelines.
• Address operational challenges related to Calendar Rules and Litify software, ensuring efficient calendaring, conflict checks, and report generation.
• Support the development and implementation of firm policies and best practices for file management, including opening, closing, storage, and destruction processes.
• Manage relationships with vendors responsible for off-site document storage and ensure service quality.
• Collaborate with firm leadership to assist with special projects, operational improvements, and other administrative tasks. Requirements • Proven experience in legal calendaring and docketing, with familiarity in using Calendar Rules software.
• Strong understanding of legal procedures, deadlines, and compliance standards.
• Proficiency in case management software, such as Litify, and the ability to generate detailed reports.
• Exceptional organizational skills and attention to detail to manage multiple priorities effectively.
• Ability to conduct thorough and accurate conflict checks and maintain related databases.
• Experience in vendor management, particularly in relation to document storage.
• Capability to work collaboratively with management and contribute to operational improvements.
• Strong communication skills to interact effectively with internal teams and external partners.
