Homelessness is the largest social and public health crisis in California. Illumination Foundation (IF) is a growing non-profit organization dedicated towards disrupting the cycle of homelessness by providing targeted, interdisciplinary services in our recuperative care centers, emergency shelters, housing services and children's and family programs. IF currently has 13+ facilities with 22+ micro-communities scattered across Orange County, Los Angeles County and the Inland Empire.
Job Description
The Administrative Assistant Provides essential support to the corporate team and works in close partnership with the Executive Assistant to the CEO. This role ensures that daily administrative operations run smoothly and efficiently in a fast-paced environment. The ideal candidate is detail orientated, proactive, and thrives in a collaborative setting.
Responsibilities
Administrative Support
+ Perform a wide range of administrative tasks including calendar management, expense reporting, and scheduling
+ Compose and prepare confidential correspondence, reports, and presentation materials
+ Manage and maintain accurate records, including contracts and invoices
+ Handle sensitive information with discretion and professionalism
Office & Operational Coordination
+ Support day-to-day office operations to ensure efficiency and organization
+ Monitor and manage office supplies; place orders as needed
+ Coordinate food orders and deliveries for meetings or office events
+ Schedule and maintain executive conference rooms and related equipment
Project & Event Coordination
+ Assist with planning, coordination, and execution of internal projects and events
+ Participate in committees or cross-functional teams as assigned
+ Occasionally support evening or weekend events, including community or committee engagements
Collaboration & Communication
+ Work closely with the Executive Assistant to the CEO to prioritize and execute critical tasks
+ Draft acknowledgment letters, personal correspondence, and timely follow-ups
+ Serve as a reliable point of contact for internal and external stakeholders
Qualifications
Required:
+ 2–3 years of experience as an Administrative Assistant or in a similar administrative support role
+ Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
+ Excellent written and verbal communication skills
+ Strong organizational, multitasking, and time management abilities
+ Ability to manage confidential and sensitive information with discretion
+ Demonstrated professionalism, reliability, and a proactive work ethic
+ High school diploma or equivalent
Preferred:
+ Associate’s or Bachelor’s degree in Business Administration, Communications, or related field
+ Experience supporting executive leadership or C-suite level staff
+ Familiarity with project coordination or committee support
+ Experience working in nonprofit, healthcare, or corporate environments
+ Bilingual in English and Spanish
