Summary This position is established to provide administrative and technical support to the Director, Office of Facilities and Infrastructure Management. This includes but is not limited to, calendars maintenance, travel coordinator, and office supply management. Responsibilities The Executive Assistant's duties include: Policy and Procedure Development: Recommending changes in administrative policies and devising office procedures to improve efficiency and compliance within the organization. Organizational and Administrative Oversight: Applying a thorough understanding of management and organizational theory to anticipate and resolve administrative issues, including delegation of authority, communication channels, and records management. Office and Records Management: Managing filing systems, routing correspondence, and ensuring proper storage and retrieval of physical and electronic records. Executive Support: Maintaining electronic calendars, scheduling meetings, and handling travel arrangements including the preparation of travel authorizations and vouchers. Communication and Coordination: Receiving and directing visitors, managing follow-ups on pending actions, and ensuring effective communication within and across subordinate units. The ideal candidate has extensive experience applying administrative principles to enhance efficiency and effectiveness. They excel at assessing policies, implementing office procedures, and resolving administrative challenges. With strong knowledge of management theory and organizational practices, they ensure compliance through effective communication, delegation, and records management. Their strategic and practical skills support improved operations and mission success across all levels. Requirements Conditions of Employment You must be a U.S.Citizen and eligible for consideration. CONDITIONS OF EMPLOYMENT: SELECTIVE SERVICE: Males born after 12/31/1959 must be registered for the Selective Service. PROBATIONARY PERIOD: You must complete a one-year probationary period (unless already completed). TIME-IN-GRADE: Federal applicants must have served 52 weeks at the next lower grade in the competitive or excepted service in the executive branch to satisfy time-in-grade restrictions contained in 5 CFR 300, Subpart F. DEU REQUIREMENTS: Applicants selected under delegated examining procedures may be required to successfully complete a one-year probationary period (unless already completed). Qualifications To meet the minimum qualifications for this position, you must (1) meet the Education Requirement for the series, (2) provide a copy of transcripts for verification, AND/OR (3) meet either the education or specialized experience requirements. To qualify for the GS-09 on Experience, you must have at least one year of experience equal or equivalent to the GS-07 it must include: Experience applying administrative principles related to policy updates, improve office procedures, and support operational planning. Experience applying management practices to ensure communication, task delegation, document routing, and records management. Experience managing calendars, booking travel, organizing meetings, welcoming visitors, and following up on correspondence and assigned tasks. To qualify for the GS-09 on Education alone, you must have 2 years of progressively higher level graduate education leading to a master's degree or have been awarded a master's or equivalent graduate degree. You can also qualify based on a combination of graduate education and experience. This must be fully supported by your resume and transcripts, provided with your application. Written Communications – Writes in a clear, concise, organized, and convincing manner for the intended audience. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment.
