Description We are looking for a skilled Administrative Assistant to join our team in Plainview, New York. This Contract to permanent position offers a dynamic opportunity to support property management operations while contributing to the smooth functioning of daily activities. The ideal candidate will excel in multitasking, communication, and organization within a fast-paced environment.
Responsibilities:
• Handle incoming calls on a multi-line phone system, ensuring messages are accurately taken, distributed, and forwarded as needed.
• Provide administrative support for property management tasks, including assisting with leasing and tenant inquiries.
• Maintain and organize schedules by managing calendars and coordinating appointments.
• Respond to customer inquiries and resolve issues with attention to detail and in a timely manner.
• Utilize property management software to update records, process information, and track property-related activities.
• Prepare and edit documents using Microsoft Word, Excel, and Outlook.
• Monitor and address equipment repair requests, ensuring timely follow-up and resolution.
• Assist in managing account-related inquiries and maintaining accurate records.
• Collaborate with the team to support commercial property management operations.
• Ensure all administrative tasks are completed efficiently and with attention to detail. Requirements • Prior experience in commercial property management or a related field is required.
• Proficiency in property management software and Microsoft Office applications, including Word, Excel, and Outlook.
• Strong communication skills with the ability to handle multiple phone lines and take detailed messages.
• Demonstrated ability to manage calendars and coordinate schedules effectively.
• Problem-solving skills with experience in resolving customer issues and equipment repair requests.
• Knowledge of commercial leasing and real estate property management is highly preferred.
• Excellent organizational skills and attention to detail.
