Description We are seeking a highly organized and detail-oriented Scheduling/Dispatching Coordinator to join our team. This role will play a critical part in ensuring the seamless execution of a high volume of work orders. The ideal candidate will communicate with customers, vendors, and management, supporting operational efficiency in a dynamic environment.
Key Responsibilities:
Scheduling and Dispatching: Organize and prioritize daily work orders and dispatching resources accordingly. Coordinate closely with vendors, builders, and clients to manage delivery, installations, and service appointments. Customer and Vendor Coordination: Serve as the primary point of contact for customers and vendors, addressing inquiries and resolving issues promptly. Answer incoming calls and assist walk-in customers with a positive, service-focused attitude. Order Management: Accurately enter and process orders for stock glass, office supplies, and shop materials. Prepare cost estimates based on drawings or verbal project descriptions from clients. Submit orders to both in-house shops and external fabrication partners. Administrative and Payroll Duties: Process bi-weekly timecards for payroll with accuracy. Maintain and track time-sensitive shipping and receiving invoices, coding them appropriately. Handle accounts receivable by posting checks and maintaining financial records, including petty cash and credit card receipts. Inventory Management: Monitor and track inventory levels, ensuring supplies are ordered and stocked as needed. Streamline inventory ordering processes to reduce downtime or shortages. General Administrative Support: Support day-to-day administrative functions, including data entry, filing, and maintaining organized records. Ensure the office runs effectively while delivering exemplary service to internal and external stakeholders. Requirements Requirements for Success: Demonstrated mathematical proficiency, including basic math, geometry, and working knowledge of percentages, fractions, and decimals. Ability to read and interpret measurements accurately using a measuring tape. Strong critical thinking and problem-solving skills to adapt to challenges effectively. Proficient in communicating customer needs with clarity and precision. Proficiency in the Microsoft Suite (Word, Excel, Outlook) to manage tasks efficiently. Familiarity with specifications, work scopes, and construction processes is desirable. Strong customer service skills with prior experience in an office administration role. Excellent written and verbal communication abilities. Ability to collaborate effectively with team members and external contacts. Highly organized with strong prioritization and time management skills. Detail-oriented with a commitment to accuracy. Previous customer service experience and a strong aspiration for delivering exceptional service. Additional Information: This is an in-office position situated in Fort Wayne, Indiana. It offers the opportunity to transition into a permanent role after successfully completing the contract assignment.
