Do you thrive in a fast-paced environment and enjoy being the backbone of a well-functioning team? Our client in the construction industry is seeking a highly organized and dynamic Bilingual Administrative Assistant to support their growing operations.
Key Responsibilities:
+ Serve as the primary point of contact for with clients, vendors, subcontractors, and internal teams.
+ Assist in managing construction project documentation, including contracts, purchase orders, permits, and blueprints.
+ Coordinate meeting schedules, prepare agendas, and ensure translation or interpretation during meetings is clear and thorough for all stakeholders.
+ Handle data entry tasks to maintain accurate records in company systems, including orders and inventory updates.
+ Manage email correspondence and phone calls, responding promptly and professionally in both languages.
+ Assist in organizing project timelines, tracking progress, and preparing reports for management and clients.
+ Act as a liaison between field teams and office staff, ensuring strong communication around key updates or urgent needs.
+ Maintain an updated filing system (digital and physical) to ensure construction-related documents are easily accessible.
+ Support onboarding and training processes for new bilingual staff, ensuring clarity in cross-cultural communication.
Requirements
Requirements:
+ 2+ years of administrative experience, preferably within the construction or related industries.
+ Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity tools such as project management software (e.g., Procore, Buildertrend, or similar).
+ Excellent organizational skills with a strong attention to detail and multitasking abilities.
+ Outstanding verbal and written communication skills, demonstrating professionalism and cultural awareness.
+ Knowledge of construction industry terminology, processes, and documentation is a plus.
+ Ability to prioritize tasks, meet deadlines, and adapt in a dynamic work environment.
