Duties Description Identify any problems associated with processes and policies involved with purchasing to ensure the most efficient use of the Division of Administration’s budget is being followed for the use of limited office space under budget constraints.Lead regional analysis of any potential risk related to internal controls for fiscal management and Administration, supervising fiscal responsibilities, including any problems and challenges, reviewing and analyzing current practices relating to accounts payables, SFS, and purchasing. Coordinate the Region’s purchasing cards. Review unit or departmental financial forms such as vouchers for conformance with approved spending. Maintain and process payable transactions, compile and prepare financial data for budgetary purposes. Train staff on SFS fiscal systems. Will travel to regional suboffices for training staff and new staff on the State Financial System when needed.Assist Operations with effective accounting and management of workload and funding sources, purchase order creation and processing, contract processing, and invoice processing. Review the current effectiveness of procedures and performance and implement new or revised processes, as well as review and update policies and manuals.Act as backup for the Regional Administrative Specialist 1 with personnel matters, including the Employee Orientation Program. Provide support for the Regional Director and programs as needed. Travel to campgrounds to give orientation to new campground staff.Act as the IT Regional Coordinator entering various ITS requests into the ITS Service Portal for the region, including onboarding and offboarding, requests or replacement of new equipment, software or computer accessories. Develop recommendations for Inventory Control and cost analysis to align purchases with onboarding and office space utilization.
Minimum Qualifications Reassignment - Currently in the title and an employee of DEC.orReinstatement Eligible - Previously held the title on a permanent competitive basis or held a title as indicated under the transfer eligible section on a permanent competitive basis.orTransfer Eligible - One year of permanent competitive service at Salary Grade 11 or higher and eligible to transfer via Section 70.1 of the Civil Service Law.
