Duties: Provides complex administrative support to the Vice President for Communication/Chief of Staff (M/C) in the Office of the President and Office of Communication & Marketing (OCM) staff. Handles day-to-day administrative tasks of VP for Communication/Chief of Staff, the Deputy Chief of Staff/Director of Community & Government Relations/Records Access Officer, and the Office of Communication & Marketing. Including:• Manages Calendars• Prepares Correspondence and Communication• Maintains Digital Filing System• Tracks Budgets and Processes Payments• Arrange Travel• Support Events Planning and Projects• Supports Record Response Needs• Office AdministrationServe as backup to Executive Assistant to the President
Qualifications: Preferred: Bachelor’s Degree•Position requires a high level of organizational skills and proficiency with office software; essentially acting as the primary administrative point of contact for the department with a focus on detailed work and independent decision-making within established guidelines.• Requires a high degree of confidentiality to handle personnel, legal, C-Suite and institutional information and decision-making before it becomes public.•Excellent organizational and time management skills•Strong written and verbal communication skills•Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams), basic email marketing software, Adobe Acrobat digital documents, forms and e-signature mechanisms.• Proficiency in Zoom, Teams, Webex, Google or other online meeting platforms.•Attention to detail and accuracy.•Ability to prioritize tasks and meet deadlines•Independent work ethic with the ability to take initiative•Strong interpersonal skills for interacting with diverse stakeholders•Ability to pivot direction and problem solve unexpectedly.•Desired: 5-8 years of C-suite administrative support experience
