The Rallye Motor Company, recognized as Long Island's top luxury automotive group, is seeking a Loaner Vehicle Manager for our BMW Luxury Automotive Dealership. The perfect candidate is interested in a long-term opportunity with an exceptional team and has demonstrated proficiency in social media. We are looking for an enthusiastic, dependable, and driven individual to take on the Loaner Vehicle Manager position in the service department, which entails overseeing the management and coordination of loaner vehicles provided to customers while their own vehicles are undergoing service or repairs.
Key Responsibilities:
Loaner Car Allocation:
+ Booking and Scheduling: Managing the availability of loaner cars by scheduling them in advance when customers book service appointments. This is done in collaboration with the Service BDC team.
+ Vehicle Assignment: Ensuring each customer is assigned the right loaner vehicle based on availability, customer preference, vehicle type, and Rallye loyalty.
Fleet Management:
+ Vehicle Maintenance: Ensuring loaner vehicles are well-maintained, clean, fueled, charged and in good working condition. This includes regular servicing, cleaning, and handling minor repairs when needed.
+ Tracking Fleet Utilization: Utilizing loaner vehicle software and google sheets, in collaboration with the Service Advisors, effectively monitor and track which vehicles are out and when they are expected back.
Customer Service:
+ Handling Customer Requests: Addressing customer inquiries, concerns, or requests related to loaner cars. This could include vehicle upgrades, special needs (like larger vehicles for families), or specific vehicle preferences.
+ Pickup and Drop-off Coordination: Organizing for the customer to pick up and drop off the loaner vehicle. This may involve scheduling drivers or coordinating shuttle services.
Documentation and Records:
+ Loaner Agreements: Ensuring all loaner car usage is documented in agreements, including the duration, vehicle condition, and any special terms.
+ Insurance and Liability: Verifying that the customer has the appropriate insurance coverage for the loaner vehicle and documenting any damage or incidents that occur during the loan period.
Inventory Management:
+ Monitoring Fleet Size: Keeping track of how many loaner cars are available and ensuring there are enough vehicles in the fleet to meet demand.
+ Vehicle Acquisition and Disposal: Managing the procurement and retirement of loaner vehicles in coordination with the General Sales Manager and Preowned Sales Manager.
+ Continuous monitoring of sales retirement requests to expedite turn rate opportunities.
+ Coordinate out-cycled vehicles with internal service advisors to ensure necessary reconditioning work is performed and expensed per established guidelines.
+ Communicate with GM/GSM customer demands for specific loaner vehicles that may not be currently supported.
+ Monitor vehicle mileage trends and remove from the fleet as the mileage cap is approached.
Budget and Cost Management:
+ Cost Efficiency: Ensuring that the loaner vehicle program operates within budget while maximizing customer satisfaction.
+ BMW Subsidy: Having a strong understanding of the BMW AMP program and ensuring we are subsidized properly by BMW NA, based on enrollments, removals, and utilization
+ Insurance Claims and Management: Handling any claims related to damage or accidents involving loaner cars, and managing associated costs.
Collaboration with Other Departments:
+ Coordination with Service and Sales: Working with the service department to ensure proper vehicle scheduling and with the sales team for marketing purposes.
+ Sales Opportunities: Identifying opportunities to sell loaner cars when they reach the end of their useful life.
$65k-$90k yearly - include base salary and bonus
Requirements
+ A minimum of 3-5 years of experience in a BMW service environment.
+ Experience managing a BMW loaner car fleet is desired.
+ Technology efficient with familiarity of automotive service software, including CDK service, TSD, mykaarma, and BMW S-gate.
+ An basic understanding of automotive maintenance repair.
+ Outstanding customer service, communication, problem solving and organizational skills.
+ Ability to manage costs related to fleet maintenance, insurance, and other associated expenses.
