    AFTERSCHOOL PROGRAM ADMINISTRATIVE ASSISTANT

    We are excited to invite a passionate and experienced Afterschool Program Administrative Assistant to join our team! Homes for the Homeless (HFH) is searching for an experienced Afterschool Program Administrative Assistant for our Families w/ Children facility in the Jamaica area of Queens, NY. This position provides critical support to program leadership in organizing and maintaining the clerical, regulatory and operational aspects of our afterschool program. This is an excellent position for an energetic, initiative-taking admin looking to be part of a team in a meaningful workplace.

    Homes for the Homeless (HFH) is a non-profit social services organization operating family shelters throughout NYC that serve as a hub of opportunity for families both residing in shelter as well as those in the neighboring community. With family engagement and recreation events for the whole family, our on-site programs range from childcare, early childhood education centers, afterschool clubs and programs, youth recreation activities such as sports teams, housing assistance, case management, parenting workshops, career and job vocational training, support groups and substance abuse assistance.

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    + Assist the program and serve our clients with excellent afterschool experiences.

    + Implement a system while managing the clerical elements required for our afterschool program to run smoothly.

    + Work closely with the Program Director and HR to determine priorities and best practices for file management and record-keeping.

    + Coordinate the intake process, assessment and filing of participant's applications.

    + Assist the program leadership and compliance supervisors of Homes for the Homeless in guiding staff through onboarding and clearance processes.

    + Maintain accurate participant and staff files to ensure that all documents are up-to-date and in compliance with all regulations.

    + Track and accurately enter the program attendance and other metrics information into the database systems of our various funders and partner organizations.

    + Correspond (electronically and otherwise) with stakeholders that maintain communication with our afterschool programs, both internal and external.

    + Assist with Program Scheduling by coordinating activities, events, and meetings for the afterschool program, ensuring that timelines are met, and resources are allocated efficiently.

    + Prepare Program Reports by generating regular reports on program activities, attendance, and outcomes to ensure that stakeholders are updated, and compliance standards are met.

    + Track and accurately enter the program attendance and other metrics information into the database systems of our various funders and partner organizations.

    + Assist in organizing and supporting staff training sessions to ensure all team members are well-equipped to perform their roles and adhere to program guidelines.

    + Track and order necessary materials and supplies for the afterschool program, ensuring that resources are readily available for daily operations.

    + Offer administrative support to families and participants by answering questions, providing information, and assisting with any issues related to the afterschool program.

    + Must be detailed oriented.

    + Able to lift up to 40 lbs.

    + Perform other duties as directed by supervisor.

    QUALIFICATIONS:

    + Bachelor’s or associate Degree.

    + Experience working in an Afterschool program.

    + Assistant Administrative experience.

    + Proficiency in Microsoft Outlook, Word, and Excel.

    + Highly organized, able to prioritize and have excellent time management skills.

    $35,000

     

    9am-5pm Monday-Friday
