Description of Job
DIVISION OF FIRE PREVENTION AND CONTROL
This position is located within the Division of Fire Prevention and Control.
The mission of the Colorado Division of Fire Prevention and Control is to safeguard those that live, work, learn, and play in Colorado by reducing threats to lives, property and the environment. The Division safeguards the public through: fire prevention and code enforcement; wildfire preparedness, response, suppression, coordination, and management; training and certification; public information and education; and technical assistance to local governments.
ABOUT THE WORK UNIT
The primary purpose of the work unit is primarily educational. This educational approach is critical for our delegated local governmental entities’ inspection and plans examiner professionals and private third-party inspection professionals, who aid DFPC to ensure that all the buildings that are included in the jurisdiction of the Colorado Division of Fire Prevention and Control (DFPC) are constructed and/or maintained in accordance with the requirements of state statutes, regulations, adopted codes, and, in the case of healthcare facilities, CMS (Centers for Medicare and Medicaid) mandated requirements. Additionally, the unit works with other jurisdictions to plan, develop, and implement the principles of CRR and to provide CRR training, as well as help implementing fire and Life safety programs.
The work unit is split into two primary purposes Professional Development (Education) and Community Risk Reduction (CRR).
WORK ENVIRONMENT

+ Hybrid Model with a minimum of two days per week in the office.
ABOUT THE POSITION
The Fire & Life Safety Section of DFPC has undergone a significant change in structure, responsibility, and complexity over the recent past in regards to state fire investigations.
The Fire & Life Safety Section (FLSS) has a steadily growing need for additional Educators and CRR Specialists to meet the demand of the state’s increased need for fire prevention education and risk reduction. Currently, CRR and Education Branch employs ten (10) total FTE. As the section grows, programmatic and administrative workload of the branch manager and supervisors will increase significantly. This position is expected to provide administrative support services to the branch chief and the branch as a whole.
KEY RESPONSIBILITIES
Administrative and Program Support
Provides general administrative assistance and support for the Branch Chief, providing logistical support and preparation for meetings and events, communicating with other Branches, Units, and external stakeholders on behalf of the Branch Chief. Synthesizes and disseminates pertinent information to staff. Facilitates information sharing with internal and external stakeholders and partners. Aids the Branch Chief in tracking and coding receipts for purchases made for the branch.
Establishes general office record-keeping systems and resource libraries, and devises coding and maintenance schemes for filing systems. Ensures access to various records systems for appropriate employees. Trains other staff on office procedures, record-keeping, and use of forms. Schedules meetings for staff and facilities, provides logistics support for events, and answers questions via phone, email, and in-person.
Social Media
This position is responsible for using social media platforms such as Twitter, Facebook and Instagram to announce, advertise and update the public on events, job posting, and educational opportunities associated with the Branch. In addition, the position will be responsible for maintaining content, at the request of CRR Unit staff, on the Fire Safe Colorado social media platforms.
Customer Service and Support
Provides internal and external customer support. Answers phones, screens and directs calls, and takes messages, and greets customers. Prepares, provides and exchanges information with callers and visitors and refers them to the appropriate DFPC staff.
Home-Hardening Grant Program
This position is responsible to create and maintain an application process for private citizens to apply for Home-Hardening Grants through the Division
This position is responsible for processing applications, in consultation with the CRR and Education Branch Chief choose the appropriate parties to award grant monies to, and processing payments to such parties.
Fire Safe Colorado Website
Position is responsible for updating and maintaining the Fire Safe Colorado Website

+ Preparing reports and correspondence, including drafting, proofreading, and assembling materials for distribution to a wide range of audiences;

+ Event planning, both virtual and in person events, including meeting dates and times, space, resources, preparing materials, and managing frequently changing schedules;
OR
Education and Experience:
+ A combination of related education and/or relevant experience in administrative experience providing high-level office support, and/or office management to team & staff equal to three (3) years
+ Coordinating communication and information between various leaders, customers, and stakeholders through writing, telephone, virtual meetings, or in person;
+ Preparing reports and correspondence, including drafting, proofreading, and assembling materials for distribution to a wide range of audiences;
+ Utilizing and navigating multiple computer systems/programs/applications to track data and produce reports;
+ Event planning, both virtual and in person events, including meeting dates and times, space, resources, preparing materials, and managing frequently changing schedules;

CONDITIONS OF EMPLOYMENT
+ Requires successful completion of an extensive background investigation including reference checks, a polygraph examination, and fingerprint based criminal background check.
