General Information & Responsibilities
The Office Specialist provides office management, clerical assistance, customer service, and support to the Disability Resources & Access Office. The Office Specialist is responsible for ensuring confidentiality, ADA compliance, accurate data entry, support for students with assistive technology, working with specialized computer software for students with disabilities, assisting with accessibility and accommodation implementation for activities, programs and services district-wide, and working with a diverse faculty, staff, student body and the public.
Description of Duties
DESCRIPTION OF ESSENTIAL DUTIES:
a. Serves as first point of contact for Disability Resources & Access Office
b. Assesses student needs and makes appropriate referrals to college departments and community resources.
c. Provides accurate and up-to-date information to prospective students.
d. Acts as an administrative assistant for the department, providing customer service to visitors and callers.
e. Schedules and maintains appointments and tests for the department; secures spaces as needed for overflow testing.
f. Responsible for AIM reporting/documentation software for student records, accommodations, communication, and reports.
g. Responsible for Banner data entry for state reporting.
h. Maintains confidential student records and general departmental files, including medical and psychological testing information related to students’ disabilities, academic records, and meeting notes.
i. Ensures students receive appropriate accommodations for testing.
j. Troubleshoots and problem solves when issues arise during testing.
k. Ensures compliance with all testing procedures, practices and policies; responsible for documenting any testing irregularities and reporting accordingly.
l. Responsible for scheduling through the Testing Center as the Register Blast Administrator for Disability Resources & Access.
m. Ensures computers, lockdown browsers, testing computers, and accessibility software are up to date.
n. Produces audiobooks or obtains eBooks from publishers.
o. Ensures all documents, handouts, course materials, and communication are accessible; remediates documents for accessibility, as needed.
p. Responsible for assisting the Disability Resources & Access Manager with closed captioning, audio/Zoom transcripts, ensuring their accuracy in an expedient manner
q. Serves as a certified test administrator and proctor for Accuplacer, TEAS, HESI, ALEKS and CNA.
r. Assists the Disability Resources & Access Manager with coordinating ASL interpreters and interpreting iPads.
s. Assists the Disability Resources & Access Manager in coordinating recruitment and awareness activities for prospective students.
t. Provides accurate information on the student complaint process if a student feels their rights have been violated and documents their concerns.
DESCRIPTION OF OTHER DUTIES:
a. Performs other job-related duties as assigned.
b. Generates reports as needed using Data Warehouse and AIM software.
c. Tracks and provides follow up to prospective students.
d. Responsible for correspondence with students, agencies, higher education institutions, school districts, governmental agencies, and the general public.
e. Responsible for working with students and healthcare providers to obtain the appropriate documentation of their disability.
f. Follows FERPA, maintaining confidentiality, security, and permanency of academic records, disability documentation, including medical records and psychological evaluations, and student information.
g. Responsible for record retention and compliance for Disability Resources & Access student records.
h. Maintains relationships with faculty, Testing Center staff and building ASC’s.
i. Assists with ensuring ADA and OCR compliance.
j. Provides back up support to the East Campus Disability Resources & Access Office.
k. Ensures that Disability Resources & Access information is distributed to all campus offices, prospective student folders are kept up-to-date, bulletin boards and banners are updated as needed.
l. Assists in the management and updating of Disability Resources & Access’ Canvas course.
m. Represents Disability Resources & Access Office at campus events.
n. Provides training to student workers on assistive technology and software available for students.

i. May require occasional travel to East Campus.
PRINCIPAL WORKING RELATIONSHIPS:
a. Works directly and collaboratively with the Disability Resources & Access Manager.
b. Works directly with student employees, scribes, lab assistants and interpreters.
c. Works directly with prospective, new, continuing and returning students.
d. Works closely with Student Services staff, faculty and all other staff.
e. Works collaboratively with IT and the Student Systems Administrator.
f. Works directly with the Teaching and Learning Center to coordinate and support Canvas accessibility.
g. Works collaboratively with the general public, High School Special Education contacts, agencies, and contractors.
h. Works closely with building ASC’s.
i. Works collaboratively with the Testing Center.
j. Works collaboratively with the East Campus Disability Resources & Access Office Assistant
k. Works collaboratively with Adult Education students, faculty and staff
Education & Experience
(To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.)
a. Associate degree required, coursework in office careers or education preferred.
b. Minimum of three years of administrative and customer service required.
c. Ability to maintain confidential records, material and information required.
d. Experience using Microsoft Office software; proficiency in Word, Excel, and Outlook required.
e. Ability to organize workload and follow through on assignments with minimum supervision required.
f. Excellent verbal and written communication skills required.
g. Previous experience working with people with disabilities preferred.
h. Ability to learn new software and technology required.
i. Prior experience with assistive technology and documentation/book/course accessibility preferred.
