What we want
The Administrative Coordinator II provides administrative support to the Academic Affairs Office and the Undergraduate Studies in the College of Performance, Visualization & Fine Arts. This person will assist with daily program needs circled around classroom enhancement. Will serve as a resource for the Academic Affairs Executive Assistant, Associate Dean, administrators, faculty, staff, and students.

Other Requirements and Factors: Must be able to travel for business purposes. Some evening and weekend coverage for events and performances will be required.
Qualifications
Required Education and Experience:
+ Bachelor's degree or equivalent combination of education and experience.
+ Three years of related experience in office administration.
Preferred Qualifications:
+ Experience with Microsoft Office 365 (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, Zoom, Google Forms, and Microsoft Teams.
+ Ability to obtain a Class "C" driver's license.
+ Prior dance, audition, or theater knowledge
+ Prior experience in marketing
+ Experience creating flyers and programs
Required Special Knowledge, Skills, and Abilities:
+ Knowledge of word processing and spreadsheet applications.
+ Interpersonal and communication skills.
+ Planning and organizational skills.
+ Ability to multitask and work cooperatively with others.
Responsibilities
Undergraduate Program Support:
+ Responsible for providing administrative support to the Academic Affairs Office and the Undergraduate Studies in the College of Performance, Visualization & Fine Arts.
+ Helps faculty with booking guest speakers for the classroom, includes booking guest travel, handling expense reports to submit to the business office, and drawing up guest contracts/invoices for payment processing. This may require driving a university vehicle.
+ Coordinates announcements and flyers to listservs or coordinates with Marcom on social media for the Programs.
+ Maintains office supplies and/or faculty requests for educational supplies for the classroom (these would include Program approved purchases by the Program Director that faculty request undergraduate enhancement funds for, i.e., DVDs, textbooks, model skeletons, yoga mats, etc.).
+ Coordinates student engagements and events such as end of the semester parties, academic student socials, and program related art shows. This may require driving a university vehicle
+ Plans and coordinates food, reserving space, set-up, and clean up. This may require driving a university vehicle
+ Submits expense reports for the purchases, emailing guests, and creating and distributing promotional flyers.
+ Assists faculty with hiring peer graders and peer teachers for courses, includes, approval routing for requests, posting the positions on Jobs for Aggies, interviewing, and filing the hiring paperwork with HR.
+ Coordinates Dance Auditions, to include gathering audition materials from participants, organizing them, creating the rubric for the faculty, emailing potential students about the status of their application, sending results, and checking them in on the day of the audition. This may require driving a university vehicle
+ Maintains and archives films from Dance Science shows. Coordinates ticket sales for performance shows.
+ Creates itinerary programs for performance shows.
+ Maintains cleanliness of dance rehearsal space and classrooms. This may require driving a university vehicle
+ Responsible for ordering and selling Dance Science merchandise on the Dance Program website.
Supporting Program Directors:
+ Scans and enters expense receipts for Program Directors.
+ Assists Program Directors with creating forms, including fillable PDF forms, Google Polls, Find-A-Time surveys, Word documents, and PowerPoint presentations.
+ Coordinates set up of in-person and virtual meetings for Program Directors, including, sending out calendar invites, zoom invites, and reserving classrooms and/or conference rooms for Program meetings, events, or organizations.
+ Checks and reconciles Program funds for Program Directors.
+ Assists Program Directors with corrections in the catalog.
+ Analyzes program, project, or initiatives.
+ Monitors project timelines and identifies issues.
+ Adapts, combines, and makes improvements to services, processes, or programs.
Academic Affairs Support:
+ Provides organizational planning and problem-solving skills to Academic Affairs and Associate Dean for Academic Affairs.
Supervision:
+ Hires, trains, and manages student workers.
