Description
We are looking for an experienced Executive Assistant to join a well-established company in Golden Valley, Minnesota. In this role, you will provide dedicated support to the company’s leadership team, including handling personal and detail-oriented tasks with a high degree of discretion. This is a long-term contract position offering the opportunity to work in a dynamic and fast-paced environment.
Responsibilities:
• Coordinate travel arrangements, including flights, accommodations, and itineraries for executives.
• Manage scheduling and calendar appointments, ensuring seamless organization of meetings and events.
• Plan and execute two major company banquets annually, overseeing all logistics and vendor coordination.
• Handle dinner reservations and other event planning tasks as needed.
• Process billing and maintain accurate financial records for office-related expenses.
• Maintain confidentiality while working with sensitive company documents and information.
• Order and manage office supplies to ensure operational efficiency.
• Serve as a notary public for various trucking-related paperwork.
• Facilitate communication between the leadership team and other departments.
• Assist with miscellaneous administrative duties as required by executives.
Requirements
• Minimum of 10 years of experience as a senior administrative or executive assistant.
• Proficiency in tools such as Cisco Webex Meetings, CRM platforms, and Kronos Timekeeping System.
• Strong skills in calendar management, correspondence, and conference call coordination.
• Demonstrated ability to arrange travel and manage reservation requests with precision.
• Notary public certification is required.
• Excellent communication skills and the ability to interact with a diverse team.
• Proven capability to handle confidential information with discretion.
• Experience working in a fast-paced environment and managing multiple priorities effectively.
