    Administrative Assistant

    In this role, you’ll be the administrative backbone of our warranty department—assisting with data entry, processing claims paperwork, tracking submissions, and coordinating between service technicians, OEMs, vendors, and internal teams.     Requirements

    What You’ll Do:

    • Review and process incoming warranty claims and documentation

    • Enter claim details, parts information, and support documentation into warranty systems and databases

    • Track claim status and follow up on pending or denied claims with vendors or OEMs

    • Assist with preparing warranty return documentation and shipping coordination

    • Organize and archive claim records in both digital and physical formats

    • Communicate with service managers, technicians, and customers regarding claim status and required info

    • Generate weekly or monthly warranty reports for internal tracking

    • Maintain confidentiality and accuracy in all data handling

    What You Bring:

    • 2+ years of experience in an administrative, clerical, or office support role—ideally within service, automotive, or equipment industries

    • Experience working with warranty claims, service orders, or parts documentation a strong plus

    • Excellent organizational skills and attention to detail

    • Strong communication and follow-up skills

    • Proficiency in Microsoft Office (especially Excel and Outlook) and/or experience with ERP or service management software

    • Ability to manage multiple priorities while meeting deadlines

    • High school diploma or equivalent; associate degree preferred
