Job Title: Procurement Analyst
Job Description
This role involves supporting the scoping, sourcing, contracting, and ongoing management of operational expense vendor partners performing services throughout a real estate portfolio. The aim is to secure preferred rates for both regular and as-needed services through a streamlined network of highly qualified vendor partners. Candidates must excel in procurement, project management, program management, and communication.
Responsibilities
+ Lead procurement sourcing processes and oversee all procurement requests including quotes, proposals, and bids.
+ Manage the bid posting process by preparing and publishing all required notifications and maintaining postings on BidNet Direct.
+ Coordinate bid timelines, monitor vendor submissions, and facilitate communication with vendors regarding bid status and updates.
+ Evaluate and select vendors based on capabilities, performance, pricing, and quality assurance, ensuring compliance with purchasing and financial policies.
+ Communicate with vendors to reconcile discrepancies in price, quantity, or other between requisition and invoice.
+ Build and maintain vendor relationships, responding to vendor inquiries in a timely and professional manner.
+ Manage and update contracts within the financial system for accurate tracking and compliance with organization policies and procedures.
+ Oversee contract scope and obtain proper approvals for change orders prior to authorizing additional expenditures.
+ Assist in preparing purchase orders and contracts, ensuring accuracy and proper documentation.
+ Draft contracts and documents; review and guide the development of contracts, amendments, interagency agreements, and grants.
+ Negotiate and draft contracts and purchase orders, reviewing terms and conditions to ensure policy and regulatory compliance.
+ Monitor and create reports to track and analyze vendor pricing and quantity variances from requisitions to invoices.
+ Track expenses and ensure submission of necessary documentation for internal controls and processing.
+ Identify and reconcile discrepancies with vendors or internal teams.
+ Remain current on federal, state, and local procurement regulations and maintain comprehensive records for audits.
+ Ensure adherence to procurement policies and update them as needed.
+ Provide training or resources on procurement policies, tools, and procedures, and assist in the development of solicitation documents.
+ Assist business owners with requisitions and provide other finance administrative support as needed.
Essential Skills
+ Minimum of 3+ years of related work experience in sourcing and procurement, including supplier selection, negotiations, contracting, and supplier management.
+ Strong project management skills with experience in cross-functional projects involving diverse stakeholders.
+ Strong negotiation skills and ability to manage complex deal structures.
+ Advanced analytical skills and ability to synthesize large data sets into summaries.
+ Data-driven mentality and ability to back up decisions with compelling data.
+ Independent thinking and proactive planning with excellent problem resolution skills.
+ Strong interpersonal, verbal, and written communication skills.
+ Ability to travel on an as-needed basis.
+ Experience with complex procurement categories, rationalizing spend, and consolidating vendors.
Additional Skills & Qualifications
+ Bachelor's degree in Supply Chain/Logistics, Business Management, or a related field preferred.
+ Knowledge of commercial real estate operations.
+ Experience in landscaping and fire light safety categories is highly desirable.
Work Environment
This position offers a flexible work environment, with two days in the office (Wednesday and Thursday) and three days remote. Ideally, the candidate should be located in Denver. The role is self-contributory with opportunities for growth, allowing the individual to own specific categories or services once they are fully operational. The work culture is flat, with no chain of command, fostering initiative-taking, accountability, and communication across all levels. The position requires both individual contributions and collaboration with directors in specific categories.
Pay and Benefits
The pay range for this position is $35.00 - $45.00/hr.
