    Under limited supervision, responsible for processing payrolls, ensuring payroll data is collected, input, processed, balanced, and verified in accordance with government specifications. Maintains an in-depth understanding of US payroll practices and legislation. The incumbent must respond to employee payroll queries in a professional and timely manner, assuming full responsibility and resolution of payroll issues and exercises discretion when dealing with confidential information.

     

    This role includes assisting the HR department with recruiting, onboarding, and new hire orientations.

     

    Workplace: Workplace is intended to extend to and include any company-owned facility and/or property, contracted job site, and/or any other private (including a personal residence if working from home) or public property the Company conducts business; including third-party facilities where the employees may be conducting company business, fulfilling their work-related duties or assignments, and/or company-sponsored recreation, events, or training.

    Primary Duties & Responsibilities (include but not limited to):

    + Ensures all entered time is approved by managers prior to payroll processing.

    + Closes pay cycles and imports data into ADP for payroll processing.

    + Imports mass employee changes and benefit accruals into the ADP program.

    + Evaluates programming changes required and works with timesheet program provider to implement the required changes.

    + Processes multiple payrolls. May include multiple payroll cycles, high volume of non-exempt employees, multiple business numbers, bonus/commission pay and taxation, file import/export, etc.

    + Process wage garnishments.

    + Advises HR team on payroll compliance with federal, state, and local laws.

    + Coordinates and inputs all incoming payroll data.

    + Ensures that internal policies are being administered correctly in relation to the processing of employee pay.

    + Verifies payroll, edits, reports, and balances payroll prior to submission.

    + Responsible for scheduling and running payroll.

    + Identifying and implementing improvements to payroll processes to enhance efficiency and compliance.

    + Responds to employee calls, emails, delivering the highest level of customer service.

    + Runs payroll related reports as directed, i.e., vacation, sick leave, and overtime.

    + Processes Year-End functions to meet legislative requirements.

    + Providing support for payroll audits, including gathering documentation and explaining processes.

    + Accurately track and report employee wages and hours for government contracts, ensuring compliance with prevailing wage laws.

    + Send and follow-up of Wage Deduction/Reimbursement Authorizations related to certified payroll.

    + Submit detailed payroll information, sign a statement of compliance, and fulfill specific reporting requirements to the government.

    + Assists with maintaining employee records.

    + Collaborate with HR and finance for accurate payroll data.

    + Update payroll systems with employee status changes.

    + Assist HR Department with recruiting, onboarding, and new hire orientation.

    + Other duties as assigned.

    Skills & Knowledge:

    + A deep understanding of complex payroll laws, regulations, and compliance requirements to process standard and certified payroll.

    + Knowledge of local and state tax laws.

    + Ability to carry out instructions furnished in verbal, written and/or diagram form.

    + Ability to collect, compile, and analyze information and present data in an understandable format to management and employees.

    + Able to work independently, with others, generate teamwork and establish business relationships.

    + Ability to prioritize and manage multiple tasks simultaneously.

    + Ability to work well and productively with frequent interruptions.

    + Excellent organizational and mathematical skills.

    + Ability to maintain confidentiality regarding financial and personnel matters.

    + Advanced Excel, Word, PowerPoint skills.

    Education, Qualifications, & Experience (include but not limited to):

    + Bachelor’s degree in finance or related field, or equivalent combination of training and/or related experience.

    + Certified Payroll Professional (CPP) certification desired but not required.

    + Five (5) or more years’ experience managing/processing payroll for 100+ employees.

    + Three (3) or more years’ experience working with certified payroll.

    + Experience with ADP WFN and Viewpoint Spectrum.

    + Experience with certified payroll.

    + Experience in human resources – recruiting and onboarding.

    + Bilingual Spanish helpful.

    Work Environment:

    Most work will likely be conducted in the Home Office. Some work assignments may require periodic or extensive daily travel to job sites (local or remote), including prolonged overnight stays, to meet the needs of the business.
