    The Office of Advancement in the College of Natural Sciences at Colorado State University is seeking a Development Operations Coordinator.

    The College of Natural Sciences ( CNS ) is a nationally recognized leader in scholarship, education, and discovery in the sciences. Through cutting-edge foundational and vital interdisciplinary research, the college educates and inspires the next generation of scholars, researchers, and professional leaders to thrive and contribute to an ever- changing global society. It is one of the largest colleges at Colorado State University and is comprised of eight academic departments: Biochemistry and Molecular Biology, Biology, Chemistry, Computer Science, Mathematics, Physics, Psychology, and Statistics.     The CNS development team dual reports to the Division of University Advancement and the CNS Dean. The team’s role is to coordinate efforts to raise funds for the College and support all departmental fundraising initiatives.

    Position Summary

    The CNS Development Operations Coordinator is a full-time position reporting directly to the CNS Managing Director of Development. The Coordinator will play an integral role in overseeing the operational and administrative activities that support the College’s fundraising goals. The Development Operations Coordinator will handle all aspects of donor relations and donor impact by ensuring the integrity of donor data and gift fund management (examples – create new funds; track fund agreements; track proposals; enter contact reports; handle ad-hoc report requests; handle appeal code requests; generate acknowledgments; and manage CNS pipeline information in the Ascend database).

     

    Additionally, the coordinator will oversee scholarship and fellowship administration related to philanthropy as well as create and maintain processes to support frontline fundraisers, the dean, and department chairs in their donor interactions (examples – prepare materials, plan events, develop presentations, assist with collateral material creation, support proposal creation, etc.) The Coordinator will also be responsible for the management of 1 to 2 student employees and will handle all team administrative duties, including but not limited to assisting with calendars and scheduling, processing receipts and travel documents, and other duties affiliated with cultivating and stewarding CNS donors.

     

    The position will work with frontline fundraisers, faculty, and staff from the eight academic units in the College, central University Advancement staff, and the CSU Foundation. The CNS development office is located on the Colorado State University campus in Fort Collins, Colorado.

     

    This position will report to the CNS Managing Director of Development.

    Required Job Qualifications

    + Bachelor’s degree from an accredited institution by the hire date.

    + Minimum of 2 years’ experience, including internship and part time, in project office management role.

    + A demonstrated ability to engage and effectively communicate with diverse audiences.

    + Ability to work non-standard hours, including early mornings, evenings, and weekends when necessary.

    + Must have a valid driver’s license, the ability to obtain a driver’s license, or access to a licensed driver by the employment start date.

    + Manage development operations to enhance the fundraising activities in the College of Natural Sciences.

    + Implement and maintain processes to support frontline fundraisers, the dean, and department chairs in their donor interactions (write briefs; prepare materials; develop presentations; support proposal creation; schedule meetings; and facilitate new fund paperwork, gift transmittals, gifts in kind, and letters of intent).

    + Maintain scholarship/fellowship administration and stewardship.

    + Proficiency in the CRM system Ascend. Compile and analyze data and information from the CRM donor database.

    + Create donor profiles as needed to guide development staff, dean, and faculty members with their interactions with donors and prospects.

    + Oversee integrity of donor data and gift fund management (create new funds; track fund agreements; track proposals; enter contact reports; handle all ad-hoc report requests; handle appeal code requests; and manage CNS pipeline information in the Advance database).

    + Ensure accurate processing of donor gifts in adherence with donor intent and University Advancement and Colorado State University Foundation policies AND manage the donor acknowledgement process.

    + Facilitate the CSU naming process for the CNS .

    + Interpret University Advancement policies to faculty and staff within the academic units and centers, and support them in adhering to guidelines and best practices.

    Duty/Responsibility

    + Manage development operations to empower Dean and development team to identify, qualify, cultivate, solicit, and steward alumni and other major gift ($25,000+) donors. Responsible for understanding and executing the Donor Bill of Rights and maintaining positive donor relationships and confidentiality.

    + Facilitate gift acknowledgement process (create thank you letters, weekly gift reports, and customized donor communications; track mailings).

    + Plan and Execute the College’s special events, including but not limited to the Annual Donor Recognition event; emeritus event; and select donor tailgates and special engagement experiences such as campus tours, presentations, and athletics events.

    + Recommend strategic actions to senior leadership by pulling reports, creating presentations, and overseeing travel schedules to ensure the university and college fundraising priorities and goals are met.

    + Draft strong, clearly written communications (email and written correspondence, contact reports, etc.) to ensure flow of information is recorded accurately in Ascend database.

    + Create and manage online giving pages and other fundraising appeals and e-communications. Compile lists of donors and alumni for use by academic units for mail and email communications, event invitations, and solicitations.

    + Manage special projects as needed to support meaningful donor engagement (events, gifts, web and newsletter stories, online giving pages, etc.)

    + Act as a liaison to College units, providing training and best practices for their own gift acknowledgements and development processes.

    + Successfully interact and work with a diverse range of colleagues, alumni and donors.

    + Prepare/process and route all required gift forms for funds received by CNS development team.

    + Process team expense receipts and travel reimbursements.
