    This position will serve as the 140 LLL (Living Learning Laboratory) Events and Rentals Coordinator for Cornell Cooperative Extension Association of Nassau County and will work under the direction and supervision of the Camp Director. This position will provide direction, organization, coordination, and management of all aspects of the assigned 140 LLL Programs, to include, but not be limited to: D.P.F. 4-H Camp Programs, the Long Island County Fair, the New York State Fair, and other 140 LLL Programs (recruiting and booking rentals, event coordination, and adult education) administered by Cornell Cooperative Extension Association of Nassau County. This position will be responsible for enhancing 140 LLL Programs, resources and collaborations. This position will provide management and oversight of assigned grants and contracts, will provide management and coordination of marketing and fundraising for assigned Programs, both on-site and off-site in accordance with the 140 LLL Program Area’s Plan of Work.

    Required Qualifications:

    + Bachelor’s Degree or Equivalent Education (Associate’s Degree and two (2) years transferable program/functional experience).

    + Experience relevant to the role of the position.

    + Valid Driver’s License and the ability to meet travel requirements associated with this position.

    + Ability to work flexible hours which may include evenings and/or weekends, as appropriate.

    Preferred Qualifications:

    + Familiarity of subject matter appropriate to area of programming (4-H Youth Development).

    + Familiarity with principles, theory, research and application of youth camping environments (summer camp, residential camp, and camp programming).

    + Demonstrated initiative, reliability and dependability.

    + Demonstrated ability to plan, teach and evaluate informal educational programs through a variety of delivery methods to reach individuals and groups, adults and youth.

    + Demonstrated ability to communicate effectively through oral, written and visual means.

    + Demonstrated ability to utilize computer technologies for education and communication purposes.

    + Demonstrated ability to participate in professional team efforts with volunteers and staff.

    + Demonstrated ability to supervise and lead programming.

    + Demonstrated ability to relate to diverse audiences.

     

    Responsibilities/Essential Functions

    Program Responsibilities

    Program Delivery, Evaluation and Applied Research - 10%

     

    + Promote positive development based on 4-H essential elements.

    + Implement CCE-Nassau programming. Locations include but are not limited to the 140 LLL, D.P.F. 4-H Camp, Long Island County Fair, the New York State Fair, off-site 4-H locations and other locations identified/needed to support the established Plan of Work.

    + Effectively use all forms of mass media, including social media, for the delivery of CCE-Nassau educational programs.

    + Work to foster acceptance of CCE-Nassau Programs, methods, and policies while addressing community and individual needs and considering diverse audiences.

    + Serve as a team member and cooperate with the entire Association and CCE-Nassau Program staff to achieve Association program delivery goals.

    + Implement program evaluation as designed.

    + Assist in the interaction with program participants to obtain evaluation data, to include evaluating effectiveness of classes (including quality, safety/enjoyment) and instructors within program areas for all programs offered.

     

    Administrative Responsibilities

     

    Direction and Management - 15%

     

    + Assist the 140 LLL Maintenance Coordinator by providing input to develop written plans and strategies to maintain records for facility, equipment, and grounds, including but not limited to maintenance records, seasonal work plans, fire extinguisher and heating system annual maintenance, winterization of buildings and equipment.

    + Assist the 140 LLL Maintenance Coordinator with planning for seasonal staffing needs of facility, working with the Supervisor, Executive Director and/or other designee.

    + Assist the 140 LLL Maintenance Coordinator with planning for facilities needs fulfilled by outside contractors/vendors.

    + In collaboration with the Supervisor, Executive Director, and Camp Committee, prepare and provide input for facility budget.

    + Confer with leadership on strategic property needs.

    + Assist in the planning of project activities with Association and town officials to assure compliance in coordination with Supervisor.

    + Provide input into the development of the Association budget related to events and rentals.

    + Collaborate with the 140 LLL Maintenance Coordinator with oversight of construction and renovation projects, moves, building security, inventory control, and scheduling of vendors and contractors.

    + Work with the Supervisor, Executive Director and/or designated staff to negotiate contracts with vendors and/or contractors, and to ensure required risk management approvals are in place.

    + Manage the work responsibilities according to priorities for facility/property staff.

    + Monitor expenses and payments including verification of payment and invoicing matching contract pricing in coordination with the Supervisor.

    + Provide regular and special reports, as required, on the conduct of the project to the Supervisor.

    + Assure security of the facility.

    + Provide input and guidance to Supervisor for upkeep of facilities, needed repairs, etc.

    + Monitor completed work by contractors and vendors, follow up as needed.

    + Assist the 140 LLL Maintenance Coordinator with ensuring adequate supplies and materials are available to conduct grounds keeping and custodial tasks.

    + Comply with established health and safety regulations and guidelines including OSHA/PESHA. regulations.

    + Ensure emergency preparedness plans are monitored and kept up to date.

    + Ensure delivery schedules, quantity and quality criteria are met.

    + Solve problems and resolve conflicts that arise utilizing appropriate policies and procedures, as needed. Report actions immediately to Executive Director.

    + Allocate program resources to accomplish Association program objectives within the assigned CCE-NC programs.

    + Monitor assigned programs income/expenses to ensure spending is within the program budget constraints.

    + Take corrective action to reduce risk and ensure a safe property and camp management.

    + Ensure the documentation of critical events including but not limited to injuries and accidents. Communicate these immediately to Executive Director.

    + Assist in managing post incidents in conjunction with Supervisor, Executive Director or designee.

    + Communicate daily with the140 LLL Maintenance Coordinator, Farm Supervisor, and Camp Directors communicating schedules and property concerns.

    + Implement health and safety guidelines and procedures described in the camp safety plan that is approved by the NYS and Suffolk County Department of Health.

    + Administer the daily schedule effectively, balancing activities and daily routines; insuring adequate staff coverage and adjusting for weather-related or other.

    + Collaborate with 140 LLL Maintenance Coordinator for all repairs and maintenance of facilities, agency vehicles, supplies and office equipment and make recommendations for improvements and repairs.

    + Maintain safety records for vehicles and activity areas as per Department of Health, American Camping Association and local requirements.

    + Manage effective emergency/crisis response to issues and communicate to applicable staff as needed.

    + Assist in the securing of necessary operating permits for 140 LLL from agencies as required. Actively participate in inspections and visits.

    + Meet quality standards of accreditation from the American Camp Association, as required.

    + Assist with the development and review of position descriptions.

    + Monitor policies and practices that reduce risk and promote health and safety for campers and camp staff at 140 LLL.

    + Always ensure confidentiality of all information and records.

    + Maintain good standings with the NYS and Suffolk County Department of Health.

    + Provide management of off-season rentals and provide supervision as needed.

    + Conduct staff interviews and make recommendations for hiring.

    + Provide oversight to volunteers as assigned.

     

    Coordination/Operation - 70%

     

    + Ensure timely and effective communication at all times.

    + Assist the Camp Director in camp activities.

    General:

    + Seek out and facilitate rentals and events for cabins and groups staying on the 140 LLL property.

    + Facilitate routine ordering of cleaning supplies, building materials, maintenance items, etc.

    + Safely operate all vehicles and other job-related equipment.

    + Conduct training on Emergency Preparedness to necessary staff.

    + Interact with clientele, staff, volunteers, and the public in a courteous and respectful manner always.

    + Assist in tracking and coordinating delivery schedules.

    + Assist in all CCE Nassau locations as needed.

    + Assist all CCE Nassau Programs with operational tasks to efficiently manage property.

    + Coordinate Camp and 4-H fundraisers.

    + Coordinate and facilitate trips to the 140 LLL Facility.

    + Obtain evaluation data and program needs assessments from program participants based on existing evaluation framework and guidelines.

    + Coordinate projects and ongoing outreach efforts in accordance with established Plan of Work.

    + Coordinate effective marketing strategies in the promotion of programming efforts to include, but not limited to: print media, news media, social media, and multi-media efforts.

    + Effectively maintain existing professional relationships with other agencies, organizations and businesses that promote effective communication and facilitate continued programming efforts.

    + Assist Executive Director with maintaining external relationships with insurer; local police, fire and emergency medical units; inspectors and compliance officers on issues of health and safety.

    + Organize and coordinate activities related to 140 LLL Programming.

    + Maintain staff training materials including but not limited to staff handbook.

    + Find tabling events to promote programs, job and other services offered by CCE and represent CCE-NC at these tabling events.

    + Facilitate awareness of and promote farming producers’ involvement with Taste New York and other CCE-Nassau programs.

    + Assist with taking of photos and videos for marketing, social media and registration software.

    + Work with CCE-Nassau Program Staff to maintain healthy food options for programs within budget.

    + Write articles and success stories for newsletters, brochures and CCE program reporting.

    + In collaboration with 140 LLL Maintenance Coordinator and Camp Directors, schedule contractors, volunteers, or other resources to address facility, maintenance, and storage needs.

    + Schedule and run property workdays for volunteers and staff.

    + Assist, when needed, with the production of (develop, edit, format and publish) word processing documents including but not limited to letters, newsletters, routine correspondence, brochures, labels, forms, certificates, etc. utilizing desktop publishing software.

    + Assist with the preparation, distribution, proofreading and mailing of brochures, newsletters, event flyers, certificates, and other promotional materials.

    + Operate basic office equipment including copiers, computers, calculators, postage meters; and other office equipment deemed as necessary. Trouble-shoot minor problems utilizing user/operation manuals and/or may call for more complete repairs.

    + This position may require the transport of program participants and/or program materials and resources in performing position responsibilities.

    Grounds & Building Maintenance:

    + Schedule and oversee routine maintenance and inspections as required.

    + Set up and tear down meeting facilities as specified.

    + Remove snow and ice from roads, walks, roofs, driveways, and parking lot as needed.

    + Ensure proper maintenance of lawn and landscaping as needed.

    + Provide input for requisitions and tool maintenance, equipment, and supplies.

    + Assist in organizing and maintaining the kitchen, pantry and storage areas of rental properties to meet NYS and Suffolk County Department of Health standards.

    + Collaborate with Supervisor, 140 LLL Maintenance Coordinator, and staff to ensure the buildings and grounds are prepared for educational programming.

    Rental/Building Usage:

    + Prepare facilities in advance of rentals.

    + Reset the facilities at the conclusion of a rental group.

    + Coordinate the rental groups checking in and out.

    + Responsible for managing all facility rentals –manage general maintenance and repairs of appliances as needed.

    + Consult rental/usage calendar or designated individual weekly for information regarding building and grounds use.

    + Arrange for seasonal openings and closing of buildings.

    + Serve as the contact for events and rentals issues and emergencies.

    + Check facilities after use by renters and report damage to the Supervisor or designee.

    + Set up chairs, tables or any other equipment as specified.

    + Coordinate cleaning schedule with 140 LLL Maintenance Coordinator.

     

    Professional Improvement - 5%

     

    + In cooperation with Supervisor and/or Executive Director, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes in programming and association priorities.

    + Collaborate in activities that are in general support of Cornell Cooperative Extension including but not limited to attendance at staff meetings, timely reporting of expenses, working with other staff, general marketing of Extension programs and other duties as assigned.

     

    Health and Safety-Applied to all duties and functions.

     

    + Support the association to maintain a safe working environment.

    + Be familiar and strive to follow any applicable federal, state, local regulations, Association health and safety policy/procedure/requirement and standard.

    + Act proactively to prevent accidents/injuries and communicate hazards to supervisors when identified.

    POSITION DETAILS:

    This is a non-exempt, full-time position, 100% FTE, 40 hours per week. The hourly rate will be $23.00 to $26.00 commensurate with experience.
