    About the Work Unit

     

    This work unit exists to provide professional administrative support to the troop or section as assigned.

     

    About the Job

     

    This position will be split up into two troop locations, working 50% of the week at each location.

    Key Responsibilities

    The purpose of this position is to provide professional administrative support to the troop or section office and may include management of multiple budgets, procurement management, grant management, multi-agency task force overtime and overtime tracking, and inventory management. This position functions as the office manager, working independently with minimal supervision. Develops internal processes and internal planning documents, and supports internal operations where needed. May assign tasks, monitor progress and workflow, check work products, and establish business unit work standards. Provides program support as needed to all business units within the work unit, which may include case files and electronic document management.

    Program Support and Office Management

    In the role of office manager, works independently with little or no supervision to resolve issues. Oversees and ensures that the office administration functions of the business unit to which assigned are effectively carried out. Performs technical, complex, and/or specialized office support work, which requires the exercise of independent judgment, the application of various technical skills, and detailed knowledge of the activities and procedures specific to the unit. Serves as a notary public as needed. Acts as a liaison between the business unit and external partners, other staff, and field units for information sharing. Manages unit records and files, maintaining compliance with all retention requirements.

    Budget, Procurement Management and Requisitions Fiscal Management

    Prepares and manages the unit budget(s) in conjunction with the troop or section commander. Manages, monitors, and provides reporting on or support for grant awards as needed. Ensures adherence to state fiscal rules and maintains a precise accounting of all budget allocations made to the unit. Periodically reviews the unit budget, makes expenditures when necessary and with the approval of the section commander(s), and ensures that all expenditures are reconciled on a monthly basis. Reviews all financial transactions for completeness and accuracy using system software (CORE).

    Project Management

    Assists troop and section Commanders as needed with projects of various complexity. Completes projects on schedule and ensures a high margin of accuracy and attention to detail. Projects may include, but are not limited to: troop special event management, CDOT projects, special project overtime management, etc.

     

    Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

    MINIMUM QUALIFICATIONS

    Four (4) years of general office, administrative and/or program support experience supporting and individual or team.

    OR

    A combination of related education and/or general office, administrative and/or program support experience equal to four (4) years. If education is substituted for work experience, an unofficial transcript of the relevant education must be provided with your application.

    PREFERRED QUALIFICATIONS

    + Prior state experience that is relevant to the duties and responsibilities of the position.

    + Experience with the Central Accounting Reporting System (CARS) preferred.

    + Experience with a financial system (CORE, Quicken, Excel or similar) is preferred.

    + Experience monitoring budget/expenses preferred.

    CONDITIONS OF EMPLOYMENT

    + Must be a Colorado resident at the time of application.

    + Requires successful completion of a background investigation that includes a polygraph exam, a fingerprint based criminal history search and drug testing.

    WORK ENVIRONMENT

    + 100% in-person, Office, sedentary, Typical work hours, Tuesday-Friday, 7:00 am - 5:00 pm.

    + Split location: This position requires regular work at two locations: Aurora Troop Office (E470 Tollway) and Castle Rock Troop Office. The successful candidate must be able to travel between both sites as needed based on operational needs.

    + Split work schedule: The weekly schedule will be split with specific days assigned to each site.
