**Schedule:** Full-Time, Must be available during assigned shifts
Job Summary:
ABM Aviation is seeking a detail-oriented and highly organized **Badging Compliance Administrative Assistant** to support airport security credentialing processes. This role is responsible for managing the intake, review, and submission of documentation required by the **Metropolitan Washington Airports Authority (MWAA)** and **U.S. Customs and Border Protection (CBP)** . The position plays a key role in ensuring compliance with federal, state, and airport authority regulations and supports our hiring and onboarding operations.
Essential Duties and Responsibilities:
Prepare and complete security badging packets for new hires and renewals
Organize and assemble required documents for review and compliance verification
Submit finalized packets (including two forms of ID) to team lead for QA and CBP submission
Support scheduling of appointments for fingerprinting, SIDA badge issuance, and document pickup
Maintain and update applicant profiles in QuickBase and other data systems
Coordinate with the recruiting team to align badging with onboarding timelines
Assist with general office administration, including correspondence, calendar management, filing, and reporting
Prepare memos, invoices, reports, and other documentation using Microsoft Office
Serve as a point of contact at the front desk, greeting visitors and directing inquiries
Perform additional administrative and compliance-related duties as assigned
Required Qualifications:
High school diploma or equivalent required; associate’s or bachelor’s degree preferred
Minimum 1 year of experience in an administrative support role
Typing speed of at least 45 words per minute
Proficient in Microsoft Word, Excel, Outlook; experience with QuickBase is a plus
Excellent attention to detail and organizational skills
Ability to maintain confidentiality and manage sensitive information appropriately
Strong verbal and written communication skills
Ability to work independently and in a team in a fast-paced environment
Compliance and Legal Requirements:
Must be at least 18 years of age
Must be legally authorized to work in the United States
Must pass a pre-employment drug screening
Must successfully complete a 10-year background check to obtain a SIDA badge and, if applicable, CBP Customs Seal
Must comply with all applicable federal and local laws.
Work Environment and Physical Demands:
Office-based environment with moderate noise levels
May require standing, walking, using hands, and lifting up to 25 lbs for up to two-thirds of the work shift
