As an Executive Assistant, you will be responsible for day-to-day administration for the Chief Financial Officer and the Executive Vice President, Corporate Development & Strategy. You will strategically manage day to day calendar events, travel arrangements and support ad hoc requests. This will include submitting expenses, documenting meeting notes and supporting logistics for corporate meetings. Additionally, the Executive Assistant will oversee and assist with liaison and communication between the Executive and internal and external office engagements. **This is an onsite role (with some flexibility) at our 333 N. Green Street office location in downtown Chicago.**
Here’s what you will experience working as an Executive Assistant:
+ Extensive calendar support requiring prioritization of multiple calendars with effective communication across various stakeholders (especially Administrative colleagues) throughout the company.
+ Coordinates, schedule and manage travel, meetings, conferences, etc.
+ Provides non-routine project-based and administrative support, handling high volume of competing requests that require professional discernment on appropriate urgency/prioritization to complete.
+ Independent management of the budgeting processes within scope of role assignment.
+ Support ad hoc requests. This may include submitting expenses, documenting meeting notes and supporting logistics for corporate meetings.
+ Oversee and assist with liaison and communication between the Executive and internal and external office engagements.
+ Arrange for meetings and conferences, including preparing agendas and minutes, and making the necessary business travel arrangements.
+ Prepare, update and distribute itineraries, letters, memos and meeting minutes and continually keep for a record for future events and meetings.
+ Serve as liaison with department managers to ensure a manageable flow of work and communication.
+ Prepare a variety of high-quality memos, letters, and other required documents.
Required Skills:
+ Proven experience supporting C-Suite Executives.
+ Ability to effectively manage multiple, competing priorities under a given timeline.
+ Strong attention to discretion.
+ Solid proficiency in MS Outlook, Word, Excel and PowerPoint.
+ Ability to work onsite _with flexibility to be determined by you and the Executives you support_ .
For this US-based position, the base pay range is $83,977.74 - $104,972.18 per year . Individual pay is determined by role, level, location, job-related skills, experience, and relevant education or training.
This job is eligible to participate in our annual bonus plan at a target of 5.00%
