    **Position Summary** :

     

    We are looking for a highly organized and proactive Executive Assistant to join Manulife Investment Management's Private Market business to support the Global Chief Operating Officer, Private Markets. This role requires a detail oriented professional with exceptional communication, coordination and problem solving skills. The ideal candidate will thrive in a dynamic environment managing executive-level administrative tasks.

    Position Responsibilities:

    Executive Support

    + Provide high-level administrative support to the Global COO, including calendar management, travel coordination, and expense reporting.

    + Act as a gatekeeper, prioritizing and managing incoming requests, emails, and calls.

    + Prepare and edit correspondence, reports, presentations, and other documents.

    + Assist in meeting preparation, including agenda setting, briefing materials, and follow-ups.

    + Perform other duties as assigned, such as taking minutes of meetings, or other administrative functions to support departmental meetings.

    + Ensure confidentiality and discretion in handling sensitive business matters.

    + Acts as back-up to other Executive Assistants on team.

    Operational & Project Support

    + Support operational processes, tracking key deliverables and milestones.

    + Assist in managing relationships with internal teams and external stakeholders.

    + Help manage NYC office in partnering with other EAs, corporate real estate and vendors.

    + Identify opportunities to improve administrative processes and enhance efficiency.

    Meeting & Event Coordination

    + Schedule and organize internal and external meetings, including logistics, venue arrangements, and materials preparation.

    + Take minutes and follow up on action items from leadership meetings.

    + Plan and coordinate executive off-sites and business events as required.

    Qualifications & Experience

    + 5+ years of executive assistant experience, preferably in financial services, asset management or financial services.

    + Strong ability to manage complex calendars, travel arrangements, and high-volume correspondence.

    + Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word) and familiarity with collaboration tools (e.g., Teams, Zoom, Concur).

    + Excellent written and verbal communication skills, with strong attention to detail.

    + Ability to work independently, anticipate needs, and exercise sound judgment.

    + Strong organizational and multitasking skills in a high-pressure environment.

    + High level of professionalism, discretion, and integrity.

    + Strong interpersonal skills and ability to work effectively across cultures

    Salary range is expected to be between

     

    $51,975.00 USD - $86,625.00 USD

Employees also have the opportunity to participate in incentive programs and earn incentive compensation tied to business and individual performance.
