    At NZDPU, our mission is to provide a trusted, central source of company-level climate data that is transparent and openly accessible to all. Our efforts started in 2022 when the Climate Data Steering Committee published recommendations for the development of a unified, global, open climate data repository. A proof of concept of the Net-Zero Data Public Utility was launched during the UN’s Climate Change Conference (COP28) and is publicly accessible at nzdpu.com.

     

    Over the past 2 years, we have focused on building out the proof of concept incorporating historical data across a wide set of company emissions data. As we start to lay out the work for the next few years, we are working to significantly expand the sources of data as we grow the global coverage and access of the platform.

     

    We are seeking a highly organized and proactive Administrative Support to the Head of the Net-Zero Data Public Utility (NZDPU). The ideal candidate will possess excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently. This role is crucial in ensuring the smooth operation of the leadership team and contributing to the overall success of the NZDPU.

    Responsibilities

    + Calendar Management:

    + Manage the Head of NZDPU's calendar, scheduling appointments, meetings, and other engagements.

    + Proactively anticipate and address potential scheduling conflicts.

    + Ensure the Head of NZDPU is well-prepared for all meetings, providing relevant documentation and information in advance.

    + Meeting Coordination:

    + Initiate and coordinate internal and external meetings involving multiple stakeholders and across differing time zones

    + Secure meeting venues, arrange catering, and manage all logistical aspects

    + Prepare and distribute meeting agendas, materials, and minutes.

    + Liaise with meeting participants to confirm attendance and address any queries.

    + Advisory Group Management:

    + Prepare and distribute meeting agendas, documents, and reports.

    + Follow up on action items and ensure timely completion.

    + Travel Arrangements:

    + Manage all aspects of domestic and international travel arrangements for the Head of NZDPU, including booking flights, hotels, and transportation ensuring compliance with our travel policies

    + Prepare travel itineraries and ensure all necessary documentation is in order.

    + Prepare and submit TNEs on behalf of the Head of NZDPU

    + Correspondence and Documentation:

    + Draft and edit emails, letters, and other documents.

    + Maintain an organized filing system and ensure confidential information is handled with utmost discretion.

    + Special Projects and Events:

    + Provide administrative support for special projects and events as required.

    + Assist with event planning, logistics, and coordination.

    You’ll need to have:

    + 1+ years in an administrative role handling calendar management, meeting coordination, and travel arrangements.

    + A strong interest in building the skills and background to grow in the field of climate finance

    + Excellent organizational, time-management, communication, and interpersonal skills.

    + Strong problem-solving and decision-making abilities.

    + High proficiency in Microsoft Office suite

    + Personal Attributes: Professional, proactive, self-motivated, adaptable, resourceful, discreet.

    + Bachelor’s degree

    We’d love to see:

    + Experience in a government or public sector organization.

    + Interest in building the skills and background to grow in the field of climate finance

    + Knowledge of the Bloomberg Terminal
