    Position Working Title: State Records Center Manager

    Minimum Qualifications:

    Six (6) years of direct work experience in records management.

     

    Note: position is subject to on-call.

    Preferred Qualifications:

    Experience working with records storage.

     

    Experience using warehouse equipment such as pallet jacks.

     

    Experience with electronic inventory management systems.

     

    Experience coordinating employee schedules and shift coverage.

     

    Experience effectively managing interactions and relationships with external customers.

     

    Experience effectively managing interactions and relationships with external vendors.

     

    Certified Records Manager.

     

    Completed coursework or workshops in records management or archives outside of a completed degree or certification.

     

    Experience in appraisal of the legal, fiscal, administrative and historical value of public records or in reviewing, analyzing and developing records retention schedules.

     

    Experience in providing technical assistance to government agencies regarding records management issues.

     

    At least one (1) year full-time experience working in Florida government.

     

    Supervisory experience.

    Duties and Responsibilities:

    + Supervises and evaluates the performance of all paper storage staff in accordance with established policies and procedures and assist in after hour emergency services for the State Records Center.

    + Supervise the accessioning of records into the Florida State Records Center in accordance with established procedures. Verify for quality control of accessioned records for arrangement, description, retention value and inclusive dates, and supervise the reference services of stored records. Controls the assignment and completion of all stages of reference work. Verify as needed to ensure integrity of records. Maintains personal CJIS certification, monitors staff certification status, and ensures that local policies and procedures are updated as necessary.

    + Meets with agencies to resolve discrepancies in documentation relative to retention schedules, disposition forms and transmittal forms. Also discuss issues related to records management and assist agencies in locating hard to find records. Provide access to transmittals and disposal documentation.

    + Compiles and reports statistical data to management on all functions of Records Storage and performs routine surveys of records center inventory. Documents discrepancies with Total Recall and work with Technical Staff to resolve issues.

    + Provides the necessary internal storage controls, both manual and automated, to ensure the most efficient records storage techniques. Makes recommendations regarding the modification or establishment of internal controls.

    + Verify quality control inspection of records for disposal. Document discrepancies and work with Records Analysis Staff to resolve issues.

    + Performs other related duties as required.

    Knowledge/Skills/Abilities:

    + Experience in data entry

    + Attention to detail

    + One-year experience in filing alphabetically and numerically

    + Ability to lift up to 25 lbs.

    + Ability to push a full box cart

    + Experience using warehouse equipment such as pallet jacks.

    + Ability to shelve materials, includes stooping, bending, and reaching.
