    Job Summary

    The University of Utah’s Housing & Residential Education ( HRE ) team is seeking a results-driven, systems-savvy and human centered leader to serve as the Assistant Director of Occupancy Management—a critical role that sits at the intersection of housing strategy, operational efficiency, and team leadership. Reporting to the Associate Director of Operations, this role leads the planning – including providing guidance and understanding of the end-user experience, execution, and optimization of the entire housing room-selection/assignment lifecycle—from applications and waitlists to occupancy forecasting and system oversight. You’ll supervise a team responsible for assignment coordination, student outreach, and project management, and play a pivotal role in advancing our goal of delivering a seamless, data-informed housing experience. This is not a passive role—it’s for someone who thrives in solving complex problems, brings sharp attention to detail, and is ready to develop a solution-oriented team

    Responsibilities

    Team Leadership & Performance Management

     

    + Directly supervise four full-time staff: two Assignment Coordinators, one Housing Outreach Coordinator, and one Project Coordinator to develop a robust, student focused occupancy program

    + Develop a high performing team to advance student experience through ongoing development, process enhancement, and a service-oriented approach

    + Indirectly oversee 10–14 student employees supporting the central housing office

     

    Customer Service

     

    + Model exceptional customer service while resolving student and parent inquiries, especially during high-volume periods

    + Act as a departmental responder during housing-related emergencies or system outages

    + Provide leadership support during key operational windows such as move-ins, move-outs, or overflow planning

     

    Occupancy & Capacity Management

     

    + Operate as the main driver to facilitate the full housing room-selection/assignment process including room placements, holds, waitlists, and Living Learning Community coordination through collaboration, process development, and internal communications

    + Proactively manage space utilization to maintain high occupancy across multiple housing types and contract periods

    + Oversee the production and analysis of occupancy reports, cancellations, and forecasting dashboards that drive operational decisions

    + Work cross-departmentally to develop processes (e.×., room change[s]) that create efficient structures that support the student experience, staff engagement, and maximize occupancy strategy

     

    Collaboration & Communication

     

    + Serve as one of HRE’s central points of contact for occupancy data and trends—partnering with Admissions, Residential Education and LLC partners.

    + Communicate policy shifts, capacity constraints, and occupancy projections to campus partners

    + Develop positive working relationships between Housing & Residential Education and campus partners

     

    Housing Software & Technical Oversight

     

    + Act as a key partner to the Dev team in managing the StarRez housing system

    + Design, test, and implement workflows that streamline student housing operations

    + Provide training and troubleshooting support to internal users and external partners accessing StarRez

    + Ensure data integrity through system audits and process documentation

     

    Budget & Strategic Resource Management

     

    + Co-manage area budgets totaling over $500,000 for payroll, supplies, and operational tools

    + Align spending with department priorities, growth plans, and service-level goals

    + Contribute to annual budget development and upcoming fiscal year proposals

    Minimum Qualifications

    Requires a bachelor’s degree in a related area or equivalency (one year of education can be substituted for two years of related work experience) and 4-6 years of experience in the field or in a related area.
