    The Office of Global Affairs (OGA) is a catalyst and a hub for all things global at the UW, connecting the diverse internal and external networks of scholars, students, and community leaders engaged with international issues. OGA’s major activities include:

     

    • Initiating and supporting scholarly research on global issues across campus units and departments, disseminating information about relevant faculty expertise, funding opportunities, and institutional ties abroad.

    • Providing a portal through which external stakeholders - including business leaders, representatives of local, regional, and national government, non-governmental organization representatives, international alumni, and ethnic and cultural affinity communities - can learn about and participate in campus activities and resources.

    • Serving as a central guide and resource for developing and successfully implementing study abroad programs, collaborating with international scholars, conducting global research, and designing and nurturing foreign institutional partnerships.

    • Supporting UW community members in planning and carrying out UW’s international scholarship and business in a safe, productive manner.

     

    To facilitate these functions, OGA has five main areas of responsibility: administration of study abroad programs and exchanges; support for international research; oversight of UW's centers and offices abroad; management of UW international relations and protocols; and coordination of strategic initiatives in the key areas of global health, global environment, global technology, global development challenges, and global cultural change.

     

    Reporting to the Director of Global Travel Health and Safety, the Assistant Director, Global Operations Support is responsible for leading, facilitating, and managing Global Operations Support at the University of Washington (UW).

     

    This role plays a critical part in developing campus-wide policies, procedures, and guidelines to support university personnel engaged in global activities, including research, education, and other international initiatives. This position will work closely with central HR, the Tax Office, Export Controls, and Procurement to ensure UW’s global operations policies meet the needs of UW’s global workforce. The incumbent will provide strategic leadership in risk mitigation, compliance, and operational efficiency in global operations.

     

    **DUTIES AND RESPONSIBILITIES** **Global Operations Support Leadership (50%):** Guide university units in addressing global operational challenges and ensure adherence to policies and best practices. Serve as the primary point of contact for inquiries regarding remote work abroad requests and global operations support.

    • Policy Development & Implementation: Identify, analyze, and develop documentation that establishes institutional guidelines for global engagement and global work abroad. Collaborates with and disseminates information through stakeholder groups including the Global Operations Support Committee, Office of Global Affairs leadership, and others. Provide policy recommendations when required.

    • Operational Support & Process Improvement: Serve as the primary point of contact for inquiries related to establishing legal entities abroad, international payments, employment laws, tax considerations, and export control compliance. Work with units across campus to maintain the International Projects Start-Up Guide.

    • Strategic Partnerships: Develop partnerships with internal and external stakeholders involved in global activities to enhance knowledge and operational efficiency, and to provide a benchmark for university global activities.

    • Contract & Agreement Oversight: Reduce redundancies and streamline agreements with international entities.

    • International Vendor & Payment Management: Partner with Procurement to address challenges related to international vendors and payments.

    • Committee Leadership: Lead and facilitate the Global Operations Support Committee meetings to address cross-departmental challenges in global operations.

    • Stakeholder Communication & Training: Develop and deliver presentations across campus on global activities and provide consultative solutions for global workforce needs.

    **Process Development & Coordination (25%):** Develop and manage the review process for remote work abroad requests, ensuring accurate documentation in Workday. Provide units with tax and employment guidance regarding short-term and extended work abroad situations. Collaborate with on-campus units in risk mitigation and compliance. Assist in identifying and addressing legacy situations involving long-term international employees to ensure compliance with university policies.

    • Professional Employment Organization (PEO) Management: Oversee the university’s PEO agreement, ensuring smooth onboarding, expense processing, and vendor relationship management. Act as the liaison between the requesting unit and the PEO and provide administrative support.

    **Global Travel Health and Safety Support (25%):** Assist the Global Travel Health and Safety Team by providing administrative support including maintaining the global travel registry, monitoring and responding to emergent events impacting UW’s global footprint, and providing direct service to and consultation regarding health and safety to university stakeholders, including UW Study Abroad.

    • Provide backup on call support and continuity to the 24/7 global emergency line.

    MINIMUM REQUIREMENTS

    Master’s degree in Business Administration, Public Policy, or related field; 3-5 years of relevant experience in business analysis, policy development, or program development and implementation.

     

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS

     

    Skills & Competencies: Strong project management, analytical, and problem-solving skills; excellent written, verbal, and presentation skills. Ability to solve unstructured problems, to clarify complex issues and the ability to present in an understandable manner.

     

    Communication & Adaptability: Ability to work effectively with groups and at all levels of management and employees. Ability to collaborate with a culturally diverse group of stakeholders in a fast-paced and complex environment.

     

    Global Operations Knowledge: Experience in global employment, international tax compliance, and global mobility, including international workforce policies.

    DESIRED QUALIFICATIONS

    Regulatory Compliance & Risk Management: Ability to assess evolving global regulatory requirements and provide risk mitigation strategies.

     

    Vendor & Relationship Management: Experience managing third-party vendor relationships and contracts related to global operations.
