ASSISTANT TO THE DIRECTOR, Kavli Inst for Astrophysics and Space Research (MKI), to coordinate, lead, and assist with operational activities and non-technical projects that span administrative needs of MKI and provide administrative and logistical support for the Director and Associate Director; manage complex travel for Director and AD and external speakers from the MKI colloquium series; serve as a representative and face of MKI and acting as its first person of contact, including greeting visitors/appointments, assisting employees and students with questions, and being a resource on department and Institute matters; plan and manage events, seminars, and colloquia; arrange scheduling and use of space in the Marlar Lounge; purchase and setup/breakdown of refreshments for MKI Tuesday afternoon colloquium and lunch catering for Friday Journal Club; handle reimbursements for Graduate Student/Postdoc lunches; and curate content for MKI’s WordPress web site.Find the full job description here (https://www.space.mit.edu/about/careers/?preview\_id=1098&preview\_nonce=e18a1de625&preview=true) .
Job Requirements
REQUIRED: Bachelor’s degree or equivalent combination of education and experience; a minimum of two years of busy office experience supporting a research center or not-for-profit, preferably in higher education; excellent oral and written communication skills, including experience with digital content; ability and willingness to initiate correspondence and meetings when needed to accomplish job tasks; ability to solve problems and anticipate needs; ability to work independently in a multi-task work environment with changing priorities and limited supervision; willing to take initiative on projects assigned; web programming experience in WordPress and basic HTML; and ability to interact independently with diverse personnel, both within MIT and outside. PREFERRED: Experience or willingness to learn the following software: Microsoft Office for Mac platforms, Adobe Photoshop and Illustrator; and experience with science writing. Job #24959-6
This position requires in-person attendance 4 days per week, with one flexible day to work off-campus on a regular schedule. In-office work is required on Tuesdays and Fridays to support key weekly community events. Revised 5/21/2025
